We are seeking a dynamic, highly motivated Assistant, Operations and Property Serviceswho demonstrates our values of compassion, accountability, responsiveness, and empowerment to our clients, families, and each other.

The Assistant, Operations and Property Services is responsible for executing general reception duties and overseeing procurement and supply distribution. Accountable to the Manager, the Assistant, Operations & Property Services will work in collaboration with the Coordinator to ensure the effective, efficient operation of the Operations and Property Services Portfolio.

This position is a non-unionized, full-time, temporary position. The contract is until June 26, 2026. The rate of pay is $22.07 per hour. The position is 40 hours per week.

Key Responsibilities:

  1. General reception duties: Respond to inquiries from donors, clients, and community members by responding to inquiries, sorting mail, and assisting with room bookings.
  2. Onsite Supports: Assist staff with onsite supports, such as petty cash and maintenance requests.
  3. Compliance and Documentation: Ensure compliance with operational plans, program policies, and procedures, and keep Operational Manuals up to date.
  4. Supply Management: Assist with inventory, procurement, and invoicing, and oversee the distribution of supplies.
  5. Collaboration & Stakeholder Engagement Collaborate with staff, external service providers, and clients to assist in accessing services on-site or via phone/email.
  6. Risk Mitigation Procedures Implement procedures that reduce organizational risk, including fire and health-related protocols. Identify and report risks in a timely manner.
  7. Emergency Point of Contact: Serve as an on-site contact for emergency or urgent situations during normal business hours (e.g., fire alarms, urgent maintenance).
  8. Quality Improvement Plans (QIP): Work with the Manager to ensure that Quality Improvement Plans (QIP) are implemented in the areas of Procurement, Ordering, and Distribution.
  9. Audits and Evaluations: Take part in regular service delivery audits and evaluation processes.

What you will bring:

  1. College-level degree in Administration and/or business, or related field preferred, with a minimum of 1 2 years of experience.
  2. Proficiency in Microsoft Office (Word, Excel, Outlook).
  3. Experience overseeing inventory, ordering, and invoicing
  4. Superior written and verbal communication skills.
  5. Ability to prioritize and make decisions using solid analytical and problem-solving skills, and handle sensitive information effectively and confidentially.
