Who we need

Reporting to the Director, New Program Development, we are looking for a Project Coordinator, New Program Development. As our new Project Coordinator, you will play a critical role in Yorkville's growth strategy, supporting the development and launch of new programs. You will coordinate and manage multiple concurrent launch projects, collaborate with cross-functional teams, support project administration, and contribute to continuous improvement. You will serve as the connective thread between departments, ensuring projects move forward efficiently and are delivered successfully.

This is a full-time hybrid role, working one to two days a week in our downtown Toronto office.

As our Project Coordinator, New Program Development, you will:

  • Manage project administration. You will maintain project plans, schedules, and documentation. You will work across teams to confirm availability of resources, coordinate meetings, take ownership of agendas, meeting minutes, status reports, and follow-up actions. You will manage project files and ensure everything is clearly documented and accessible to relevant team members. You will assist with budgeting and support the Project Manager in developing reports and presentations for project reviews.
  • Track progress. You will track and report key performance indicators (KPIs) and project metrics. You will ensure project deliverables meet quality standards and adhere to requirements, identifying potential risks and issues. You will collaborate with the Project Manager to develop mitigation strategies and contingency plans.
  • Implement best practices. You will identify ways to enhance and streamline project workflows. You will support the development and refinement of project management processes and tools. You will ensure project deliverables meet quality standards and adhere to project requirements.
  • Champion a collaborative and inclusive culture. You will contribute to a positive team environment and a culture of equity, respect, and transparency.

You have:

  • The experience. You have successfully supported or managed complex projects in a fast-paced environment, and you are familiar with different project management methodologies. You are organized, resourceful, and detail-oriented, never losing sight of deliverables and competing deadlines. You have experience coordinating project activities, managing timelines, and solving problems proactively. You take initiative, communicate clearly, and thrive on keeping projects on track. A PMP or CAPM designation is considered an asset.
  • The knowledge. You understand the structure of academic institutions and are comfortable working with academic and administrative leaders. You have experience in a regulated industry or a setting where stakeholder engagement and process compliance are essential.
  • The technical skills. You are proficient in MS Office and project management tools such as Smartsheet, Asana, Jira, or MS Project. You can quickly learn new technologies.
  • The interpersonal skills. You have highly professional written and verbal communication skills, including the ability to build and make presentations. You can build trusting, collaborative relationships and work with a wide range of stakeholders, from students and staff to senior leadership. You are an active listener who can ask intelligent questions, identify gaps, and propose solutions.
