Program Overview
This position is accountable to the Senior Director, Housing Transformation and Operations for portfolio-wide buildings. The Manager of Building Services & Capital Projects is responsible for the oversight of housing projects and acquisitions by WoodGreen. This position is also responsible for the delivery of the Housing Unit & WoodGreen's service locations capital projects and is part of the regular capital planning process(es).
This nature and scope of the position of Manager of Building Services & Capital Projects is to provide leadership in developing preventative maintenance and capital plan development and delivery as well as coaching and provide site and technical support to Housing & Horemelessness and WoodGreen services overall building assets portfolio.
What You Will DoCapital Projects, New Development & Acquisition:
  • Participates in the Unit Capital Planning & and oversight to ensure best practice and investment impact in the asset management of WoodGreen's Housing & Non-Housing building portfolio
  • Responsible for oversight of project management to ensure timely and cost effective completion of new acquisitions and property management contracts
  • Participates in both due diligence inspections and transition of new building acquisitions to WoodGreen Housing and Community services
  • Responsible for capital projects work as outlined in the capital plans and as occurs during routine inspections and emergencies.
  • Responsible for emergency and unforeseen capital repairs working with Maintenance Manager and Capital Projects Supervisors
  • Works with Housing & Units Manager's staff including directly with the Capital Projects Supervisors to ensure an effective and timely Unit-Turn process
  • Responsible for repair of major capital systems/items in the buildings and grounds, in accordance with the approved budgets and spending policies.
  • Monitors budget expenditures in relevant categories of capital projects, preventative maintenance and health and safety systems.
  • Meets regularly with the Business Solutions team to oversee budget and project implementation schedule
Preventative Maintenance & Contract Management:
  • Leads the planning and sourcing of vendors to provide best in class preventative maintenance services to WoodGreen's Housing and Non-Housing portfolio.
  • Co-Leads procurement with Business Solutions team for capital and preventative maintenance in compliance with WoodGreen's policies and practices
  • Responsible for the preparation of annual preventative maintenance work plans
  • Performs regular site inspections and supports annual inspections and follow-up work to ensure timely repairs and implementation of appropriate capital solutions
  • Ensure the building security and life safety systems are working and that the buildings are secure and safe for tenants and staff.
  • Leads the implementation of all capital-related records. Maintains computerized records of work orders, purchase order system and building systems information
  • Ensures that all appropriate logs and records are kept, including fire safety logs, elevator inspections, material safety data sheets; snow/de-icing log, valve tags, service records, roof anchor inspection results/drawings and any other records required by legislation.
  • Monitors the service delivery of major portfolio-wide contracts including: building services, pest control, cleaning, landscaping and inspection schedules.
Customer Service & Response:
  • Works in team, supportive and coaching spirit with frontline maintenance and tenancy management staff to ensure a one-stop and effective and respectful customers service processes and outcomes for clients and service customers.
  • Works very closely with the Managers - Housing and Maintenance to develop plans and ensure timely communication and coordination in the delivery of capital projects, building services and contracts
  • Responsible for timely responses to requests from internal WoodGreen heads & managers, contractors, and statutory agencies such as TDSB, Public Health, Municipal, provincial and federal government.
  • Leads engagement and communication with tenants in aspects of capital plan projects in collaboration with the area/unit Managers, Maintenance Services Manager and Maintenance/Capital Projects Supervisors
Leadership, coaching & Modeling Behaviour:
  • Responsible for representing the unit on internal committees as directed by the Director, Senior Director, Vice President and Senior Vice President.
  • Participates in regular Managers team meeting
  • Participates in a leadership mode in regular staff and unit meetings.
  • Performs annual staff performance appraisals for all Capital Team employees
  • Ensures proper training for Operations and Building services to meet health and safety regulations in preventative maintenance and capital project work
  • Ensures the anti-racism objectives and community development principles of the organisation are achieved within the program.
  • Actively demonstrates and promotes the organizational values in the manner in which their work is performed

What You Bring to the Team
  • 5 years' experience of general building maintenance and capital projects in a multi-unit residential environment, commercial or institutional.
  • 4 years' supervisory experience.
  • 3 Years experience in the non-profit sector.
  • Experience working with varied client and worker base.
  • Strong overall knowledge of building codes, including HVAC and electrical requirements is required.

  • Knowledge of computer systems including Word, Excel, internet, email, or other property management and building service information systems.
