Job Title: Health Information Clerk

Reports to: Manager, Primary Care
Duration: April 21st, 2025, until August 30th, 2025 (up to 16 weeks)
Job Hours: 35 -37.5 hours per week (Full-Time)
Salary: $17.20 per hour
Job Summary:
Community Healthcaring Kitchener- Waterloo is looking for a detail-oriented and motivated Health Information Clerk Student to join our team for the summer. This Canada Summer Jobs (CSJ) position offers an excellent opportunity for students pursuing a career in health information, medical records, or health administration. As a Health Information Clerk Student, you will gain hands-on experience in managing patient data, maintaining confidentiality, supporting healthcare professionals, and assisting in the implementation of health information systems.
You will work closely with our Primary Healthcare team to ensure that patient records are accurate, up-to-date, and compliant with healthcare regulations, all while contributing to the overall efficiency of our organization.

Responsibilities:
1.Work with members of the Primary Care Team to determine which clients require updates to client socio-demographic information.
2.Connect with clients via telephone and in person to verify existing socio-demographic.
3.Program Evaluations on numerous in-house programs
4.Support infographics development using knowledge translation methodology
5.Summary reports using quality improvement methodology
6.Data Analysis including Infographic designs
7. Enter and update sociodemographic information into clients electronic medical records.
8.Maintain medical records filing structure and organization.
9. Photocopy, organize, and compile educational materials for client orientation sessions.
10.Assist in conducting evaluations, surveys and promotional materials.
11.Track and compile data for quality improvement.
12.Call or connect with clients about client satisfaction surveys.
13. Assist and support the team as required.
14. Program Evaluations including evaluations on patient satisfaction surveys.
15. Data Analysis including Infographic designs
16. Adhere to all Health Centre policies.
17. Adhere to appropriate infection control practices including those related to Covid -19.
18.Maintain status of fully vaccinated for Covid-19, including boosters as they become available or exemption documentation if appropriate.
19. Other duties as may be assigned.
To be eligible for the Canada Summer Jobs program, candidates must meet the following criteria:
- Be between the ages of 15 and 30 at the start of the employment period.
- Be a Canadian citizen, permanent resident, or have refugee status in Canada.
- Be enrolled in a post-secondary program in Health Information Management, Health Administration, or a related field, and intend to return to full-time studies in the next academic year.
- Be legally entitled to work in Canada in accordance with relevant provincial/territorial legislation and regulations.
- Must not have been employed by the company in the past (if applying under CSJ funding requirements).
- Strong attention to detail and ability to maintain data accuracy and integrity.
- Knowledge of healthcare privacy and confidentiality regulations, such as PHIPA and HIPAA (an asset).
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), and familiarity with health information management software (EHR/EMR) is an asset.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Excellent communication skills, both written and verbal
- Strong problem-solving and analytical skills.
- Previous experience or coursework in Health Information Management or healthcare administration is an asset but not required.
Additional Information:
- This is a Canada Summer Jobs funded position, specifically for students looking to gain work experience during the summer months.
- The position is full-time for a duration of up to 16 weeks.
- The role will provide mentorship, strong supervision plan & hands-on experience, and the opportunity to enhance skills in the accounting and finance field.
