Primary Purpose

The Total Rewards Coordinator plays a key role in developing, coordinating, and administering the company's Compensation and Total Rewards programs. This role is responsible for planning and generating pay-related reports and analytics, maintaining and updating position and organizational management data, and managing databases and applications related to compensation and employee rewards. Additionally, the coordinator researches and addresses daily inquiries, responds to questions from employees, HR, and business leaders, and collaborates with HR team members to provide general compensation guidance.

Key Accountabilities

  • Support the development and revision of compensation, benefits, and rewards policies to ensure alignment with company objectives and industry best practices.
  • Assist in drafting and formatting policy and procedure documents, ensuring clarity, accuracy, and compliance with labor laws.
  • Maintain an organized repository of Total Rewards policies and procedures, ensuring accessibility and proper documentation.
  • Create training materials and presentations to educate employees and managers on updated policies and guidelines.
  • Respond to employee inquiries regarding policies, providing clarification and guidance as needed.
  • Assists with the salary grading process.
  • Reviews compensation surveys, assists with external market analysis and internal equity evaluations.
  • Performs internal audits related to equity and compliance.
  • Assist in the annual merit review and bonus cycle by preparing and managing data, coordinating letter distribution, and ensuring a smooth administration process.
  • Oversee the daily administration of employee reward applications (e.g., Bucketlist) to ensure smooth operation and user accessibility.
  • Manage and update employee reward program records, ensuring accurate data and maintenance.
  • Process and approve employee reward nominations and redemptions in accordance with company guidelines.
  • Generate and analyze reports on reward utilization, participation trends, and program effectiveness.
  • Provide training and support to employees and managers on how to use the reward application.
  • Develop and implement communication strategies to promote employee engagement with reward programs.
  • Collaborate to align reward initiatives with overall Total Rewards strategies.
  • Assist in evaluating and enhancing reward programs based on employee feedback and business needs.
  • Administer and manage the EAP portal to list offerings on a monthly basis.
  • Distribute internal communications (emails, posters, intranet content) to raise awareness of EAP offerings.

Required Qualifications

Education

  • Bachelor's degree in human resources.

Experience

  • 1 to 2 years of experience ideally in total rewards or HR Operations.
  • Experience of administration of any reward or recognition application and supporting in salary grading, merit review process is an asset.
  • Experience working within B2B environments (Manufacturing, Supply Chain, Warehousing and/or Transportation) is an asset.

Knowledge/Skills/Abilities

  • Foundational understanding of compensation, benefits, recognition and wellness programs.
  • Familiarity with the employment standards and labor laws.
  • Understanding of salary structures, pay bands, marketing pricing, and job evaluation methodologies.
  • Working knowledge of various types of business applications with an advanced level of MS Excel and data management skills.
  • Working knowledge on any HRIS application is an asset.
  • Accuracy in data management, auditing, and documentation
  • Ability to spot trends or discrepancies in reports.
  • Strong written and verbal communication for explaining concepts and guiding employees.
  • Ability to support employees with empathy and clarity when addressing inquiries.
  • Ability to prioritize and organize multiple tasks, and respond with a strong sense of urgency, ensuring timely and accurate execution.
  • Ability in handling sensitive compensation and benefits information with discretion.
  • Flexibility to adjust to evolving policies, systems, or organizational needs.
  • Ability to collaborate across the HR and other cross functional teams within the organization.
  • The ability to investigate and resolve employee issues related to pay or benefits in a timely and professional manner.
  • Ability to live by and demonstrate the core values of the company.
