We are seeking a dynamic and organized individual to join our team as a Property Administrator. The successful candidate will play a crucial role in overseeing the operational aspects of our properties, ensuring efficient management, tenant satisfaction, and adherence to company policies. The Property Administrator will report directly to the VP of Operations and work collaboratively with various stakeholders, including tenants, vendors, and head office personnel.
RESPONSIBILITIES
- Residential Leasing & Tenancy Managem
- Create, write, and prepare communications from head office to tenants, vendors, community managers and other departments.
- Collaborate with accounting department to ensure billing information and accounts receivable are accurate.
- Coordinate and support leasing activities across multiple residential properties.
- Oversee and complete tenancy documentation prioritizing accuracy and compliance.
- Collaborate with maintenance team on repairs, preventative work, and capital projects.
- Ensure up-to-date safety documentation and training.
- Support vendor relationships and manage service providers.
- Monitor property health through inspections and tenant feedback tools.
- Community Manager Support
- Assist with staff coverage and vacation planning.
- Audit tenancy files and maintain documentation standards.
- Support residential communications across sites.
- Deliver training and guidance as needed.
- BeyondWalls Community Engagement
- Lead resident-facing communications (newsletters, updates).
- Oversee planning events and community-building initiatives.
- Ensure teams uphold BeyondWalls community standards.
- Commercial Property Management
- Assist in overseeing and coordinating commercial leasing activities.
- Collaborate with leasing agents and tenants to ensure effective commercial space management
- Insurance Coordination
- Coordinate insurance-related matters for both multi-family and commercial properties.
- Liaise with insurance providers to ensure comprehensive coverage and compliance.
- Facilitate the filing of insurance claims and maintain accurate records.
REQUIREMENTS
- Education & Certifications:
- Diploma or Bachelors degree in Property Management, Business Administration, Real Estate, or a related field.
- First Aid and/or WHMIS certification is a plus.
- Experience:
- 3+ years of experience in residential property management, building operations, or facilities management.
- Experience managing people and fostering positive, collaborative work environments.
- Proven track record of managing residential rental properties, including leasing, tenant relations, and maintenance coordination.
- Skills & Competencies:
- Strong understanding of landlord-tenant legislation and building codes (e.g., Residential Tenancy Act in BC)
- Excellent communication, conflict resolution, and customer service skills.
- Strong organizational and time management skills; ability to handle multiple properties or tasks.
- Tech-savvy: comfortable using property management software (Yardi), Microsoft Office, and task management tools (e.g., Monday.com or Asana)
- Other Requirements:
- Valid driver's license and reliable transportation.
- Willingness to be on-call for emergencies or after-hours issues, as required.
- Strong knowledge of sustainability and energy-efficient building practices is a bonus.
- Passion for building community and tenant satisfaction.
COMPENSATION
- Salary will be a minimum of $50,000 to $65,000 per year with negotiation consistent for commensurate experience.
- Incentive-based comp will be tied to base salary, with 7.5% of base salary for quarterly priorities and annual KPIs.
