Fleet and Equipment CoordinatorThis position currently reports to the Director of Public Operations, although the reporting relationship is under review. The role is responsible for the efficient and cost-effective maintenance and repair of vehicles and equipment. Key responsibilities include fleet asset management, such as procurement, licensing, lifecycle maintenance, and disposal. The coordinator will work closely with departmental supervisors to develop and implement preventative maintenance programs. Additionally, the position ensures that drivers and operators receive adequate training and comply with Town policies when using vehicles or equipment.
Duties and Responsibilities
  1. Oversee all fleet asset management from acquisition to surplus per Town policy. Monitor asset condition and develop lifecycles with appropriate reserve contributions for replacements.
  2. Develop and maintain cost-effective preventive maintenance programs for all Town vehicles and equipment. Collaborate with departmental supervisors to appropriately coordinate and schedule the maintenance and repair of the town fleet.
  3. Keep an updated catalogue and inventory of fleet and equipment assets that require preventative maintenance, including vehicles, heavy machinery, tractors, and grounds maintenance equipment.
  4. Establish service contracts with vendors and suppliers for vehicle and equipment maintenance. Ensure that vehicle recalls, and warranty claims are filed promptly with the appropriate service provider.
  5. Oversee the fleet procurement process by collaborating with supervisors and end-users to determine anticipated equipment requirements, prepare purchase specifications, and properly equip vehicles for their specific purposes.
  6. Surplus fleet in accordance with Town policy to ensure maximum resale of the asset.
  7. Collaborate with the Human Resource Assistant/Health and Safety Coordinator to ensure that recruits are properly licensed for their positions and to regularly verify the driver abstracts of all Town staff.
  8. Ensure that the Town's Commercial Vehicle Operator's Registration (CVOR) remains in good standing and maintains a positive safety rating.
  9. Confirm that all fleet vehicles are adequately insured by collecting the necessary information for renewals and ensuring that all required documentation is present in each vehicle.
  10. Oversee and update the Town's Automated Vehicle Location (AVL) equipment and associated software as needed. Monitor vehicle and equipment usage to ensure compliance with Town policy and participate in investigations related to disciplinary actions.
  11. Oversee and optimize the Town Pool Vehicle Program, ensuring a fleet of light-duty small vehicles is available for staff in departments without assigned vehicles.
  12. Work with the Human Resources Assistant/Health and Safety Coordinator to ensure that staff receive proper training on the equipment and vehicles they operate.
  13. Ensure that all Town fleet vehicles are regularly cleaned, properly branded, and maintained in a condition that reflects the high standards of the Town.
  14. Ensure that staff complete the necessary inspections and circle checks of the fleet before use, following relevant legislation and Town policy.
  15. Ensure excellent customer service is provided in accordance with all established procedures, work practices, and the Town's customer service principles.
  16. Respond to after-hours emergencies when equipment breaks down and needs repair.
  17. Any other duties as assigned.

Education and Qualifications
  • Must have an Ontario Secondary School Graduation Diploma.
  • A post-secondary school Community College diploma in Motive Power Technician, Mechanical Engineering Technician, Business, or a related field would be considered an asset.
  • One or more of the following certificates of qualification will be considered an asset: Truck & Coach Technician (310T), Automotive Service Technician (310S), Auto Body and Collision Damage Repair (310B), Truck and Trailer Service Technician (310J).
  • At least five years of progressively responsible experience in public or general administration, including two years of supervisory responsibilities.
  • Must hold and maintain a current, valid and lawful Class ‘D' Driver's Licence with a ‘Z' endorsement.
  • An equivalent combination of education and experience sufficient to perform the essential functions of the job will be considered.
  • Good interpersonal, problem solving, and time management skills.

Working Conditions
  • Work is performed in both an office environment and outside in a supervisory role on a 40-hour work week. The position may require responding to emergency calls outside of regular hours.
  • Works outside, sometimes in inclement weather.
  • Driving around the municipality as required.
Wage Rate
$69,439 - $86,799 (Salary Group 4), Non-union position, Benefits Package
