Our Saint John client is seeking an experienced and highly organized Office Manager to lead their administrative operations. This role is responsible for managing office staff, ensuring smooth financial operations, maintaining strong client and vendor relationships, and driving a positive company culture. The ideal candidate will have a strong accounting background, excellent customer service skills, and property management experience would be an asset.
Key Responsibilities:
Financial and Administrative Management:
Oversee accounts payable and receivable, ensuring timely and accurate processing of invoices and payments. Manage client statement processing and reporting, ensuring accuracy and clarity. Work closely with the accounting team to maintain financial records and support audits as needed. Ensure compliance with company policies and relevant regulations related to financial transactions.
Office Operations and Staff Management:
Supervise and support office staff, ensuring efficiency and accountability. Develop and maintain office policies, procedures, and best practices to improve workflow. Handle office supply management, vendor contracts, and administrative logistics.
Client and Vendor Relations:
Serve as a primary point of contact for property owners and key stakeholders, addressing inquiries and concerns professionally. Maintain strong vendor relationships to ensure cost-effective and reliable service for property maintenance and repairs. Assist with client onboarding and maintain ongoing communication to foster long-term partnerships.
Culture and Team Leadership:
Promote a positive and productive workplace culture through leadership, communication, and team engagement. Organize team meetings, training sessions, and professional development initiatives. Resolve internal and external conflicts effectively while upholding company values.
Qualifications and Skills:Candidates should have an accounting background with experience in financial management, payables and receivables, and statement processing. Customer service expertise is essential, along with the ability to build and maintain strong client and vendor relationships. Property management experience is preferred but not required. Strong leadership and staff management skills are a must, along with experience overseeing administrative teams. Excellent communication and problem-solving abilities are essential. Proficiency in accounting and property management software is expected—experience with Buildium is a plus. The ideal candidate will be highly organized with keen attention to detail.
What We Offer:
$24.00 per hour plus 4% vacation pay
