We are seeking a dynamic, highly motivatedCoordinator, Operations who demonstrates our values of compassion, accountability, responsiveness, and empowerment to our clients, families, and each other.
The Coordinator, Operations is Accountable to the Manager, Operations and is responsible for overseeing the day-to-day execution of operational plans across multiple properties and for supervising the Cleaning and Driving staff. This includes ensuring compliance with organizational policies, regulations, and relevant legislation while maintaining efficient processes for inventory, maintenance, and budget controls. Working under the guidance of the Manager, Operations, the Coordinator facilitates operational improvements, mitigates risks, and supports a safe, productive work environment.
This position is a non-unionized, full-time, temporary position. The contract is for one year to cover a maternity leave (40 hours/week).
Key Responsibilities:
- Operational Oversight: Carry out daily activities that ensure effective management of properties, promote collaboration with program staff, and achieve operational plans.
- Supervise staff: Oversee the Cleaning and Driving staff including monitoring compliance with organizational policies, best practices and relevant regulations, and actively resolve day-to-day issues such as scheduling, on-site challenges and facility needs.
- Risk Management:Collaborate with the Manager to implement risk mitigation procedures and take part in regular service delivery audits.
- Health and Safety: Act as a point of contact for emergency or urgent situations during business hours (e.g., fire alarms) and ensure staff adhere to health and safety procedures.
- Budget & Finance:Oversee purchasing and petty cash systems, ensuringaccurate recordkeeping, timely approvals and policy alignment.
- Procurement & Inventory:Assist with procuring supplies and contractors that meet standards for quality,efficiency and competitive pricing.
- Internal Collaboration:Partner with internal teams to implement operational improvements, share updates and address cross-functional challenges.
- Stakeholder Engagement: Communicate with external providers (community organizations and local authorities) to address operational needs and respond to community inquiries.
- Human Resources:Maintain staff records in compliance with privacy legislation and organizational policies, and collaborate with Manager on hiring, annual performance reviews,training and development plans.
- Executive Level Supports:Provide proactive support to the Executive Leadership Team including meeting coordination, travel arrangements, and managing expenses.
What you will bring:
- Diploma or bachelors degree in Business Administration, or related field preferred.
- Prior experience overseeing operational or property management teams strongly desired.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong conflict-resolution, problem-solving and communication capabilities.
- Proven ability to manage multiple tasks, prioritize deadlines, and adapt to changing conditions.
