The Grey Cup Festival is more than a football celebration — it's a week-long, city-wide experience full of concerts, fan zones, cultural events, and unforgettable moments. As the Operations and Events Coordinator, you will play a key role in bringing the magic to life. From logistics to on-site execution, you'll help ensure the festival runs smoothly and delivers a world-class experience for fans, partners, and participants. This is a term position through December 2025.

Responsibilities:

  • Assist in planning and executing the logistics of the Grey Cup Festival events, including venue set-up, equipment rentals, signage, transportation, décor, and ticketing.
  • Coordinate with vendors, contractors, and internal team to ensure all elements are deliver on time and on budget
  • Support development and management of event timelines, site plans and operational checklists
  • Help deliver a diverse lineup of event and activations including concerts, community programming, family zones, partner activations and more
  • Liase with performers, presenters, suppliers and festival partners to ensure seamless event execution
  • Coordinate volunteer team and onsite staff, providing clear direction and support.
  • Maintain accurate documentation and assist with administrative tasks
  • Provide post event evaluations and reporting as required.

Requirements

  • 1-3 years of experience in event planning, event logistics and site operations is required.
  • Experience working with vendors, suppliers and contractors.
  • Excellent interpersonal skills – able to liaise with diverse stakeholders including artists, partners, community group and volunteers.
  • Strong organizational and multitasking skills, with an ability to manage multiple priorities.
  • Excellent problem-solving and communication skills in a fast-paced environment.
  • Comfortable working outdoors, on-site, and in a dynamic team setting.
  • Comfortable working both independently and as part of a team.
  • Ability to work flexible hours, including evenings and weekends leading up to and during the festival (November 9-18).
  • Proficient in Microsoft Office (Word, Excel, Outlook), experience with project/event management (ie OnePlan, Smartsheet) is an asset.
  • Experience supervising volunteers is an asset.
