Peninsula Construction Inc is a leader in the road safety infrastructure sector. Established in 1980, we are committed to installing road safety products with the highest level of safety, expertise, and customer service to help create roadways in Ontario.
Reporting to the Contracts Manager, the Administrative Assistant will provide day-to-day support to the contracts team with a focus on job setup and invoicing in the ERP system, maintaining tracking sheets, and submitting standard compliance documentation.
Responsibilities
  • Enter new jobs into ERP system (Jonas)
  • Schedule and coordinate meetings, including agenda preparation and minute-taking.
  • Compile and submit standard compliance documentation.
  • Assist in drafting professional correspondence and departmental reports.
  • Maintain organized and up-to-date departmental records and documentation.
  • Update and manage contract department tracking sheets.
  • Support subcontractor documentation processes, including collection and tracking.
  • Prepare payment certificates and facilitate processing invoices.
  • Coordinate hotel bookings and maintain associated portfolio tracking.
  • Oversee the return process for damaged attenuators.
  • Perform other duties as assigned

Qualifications
  • 2+ years' experience within an administrative role
  • University degree/College Diploma in Business, Administrative or General Arts preferred
  • Strong proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
  • Highly organized with excellent time management and multitasking abilities.
  • Exceptional attention to detail and a high degree of accuracy in documentation.
  • Excellent verbal and written communication skills.
  • Experience with Jonas Software is considered an asset.
  • Experience working within the Construction industry in an administrative capacity an asset
