THE ROLE
We have partnered with a well-established and reputable Canadian law firm in Vancouver that has been in business for over two decades. With a strong presence in the legal industry, they are looking to expand their administration team by adding a Facilities Assistant to their team.
This is an excellent opportunity for someone seeking a dynamic and challenging role with a collaborative and team-oriented firm. The ideal candidate will have previous experience working in an administrative capacity and enjoys working on site.
Responsibilities:
- Assist with onboarding and setup for new staff, including liaising with building management for maintenance, security access, and parking.
- Act as safety officer and ensure safety protocols and procedures are maintained and updated.
- Organize and coordinate meetings, training, webinars, conferences, and social events, including catering and reception coverage as needed.
- Collaborate with the case management software team to maintain client relationship management functions and generate reports.
- Manage and oversee firm and individual lawyer mailing lists, marketing events, and business development opportunities, including holiday cards, gifts, and referral tokens.
- Work with vendors to design, produce, and budget promotional materials for client gifts and coordinate holiday e-cards.
- Draft, edit, and distribute the internal firm newsletter, as well as manage marketing inventory and e-blast mailing lists.
- Collaborate with external website designers to update and improve website content.
- Perform additional tasks as assigned by the Director of HR & Operations or senior management and ensure adherence to the firms policies and procedures.
Required Experience & Qualifications:
- Experience in marketing and/or administrative support.
- Strong team player with excellent interpersonal and customer service skills.
- Superior verbal and written communication, with impeccable telephone etiquette.
- Proficiency in MS Word, MS Excel, Outlook, Internet, and case management software.
- Excellent organizational skills, attention to detail, and document management abilities.
- Ability to prioritize tasks and meet deadlines in an unstructured environment.
- Independent decision-making with sound business judgment, including the handling of sensitive confidential information.
- Professional demeanor and ability to remain calm under pressure.
