We are looking to hire an Operations Administrator to support our financial planning practice.

Title: Operations Administrator

Duties and Responsibilities:

1) Administration

  • Greet clients and visitors in a courteous and professional manner
  • Answer telephone call, direct calls to relevant parties, take and relay messages promptly
  • Receive and distribute daily mail and courier packages
  • Assist with outgoing mail and maintain related records
  • Handle office petty cash
  • Conduct regular inventory checks and place purchase orders (e.g. stationery, beverage supplies, washroom supplies etc.)
  • Ensure office equipment and facilities are in good condition for the whole office building (e.g. meeting room, pantry, front yard and parking lot etc.)
  • Organize and maintain general presentation and cleanliness of office common areas
  • Schedule cleaning and maintenance with vendors for office building

2) Operations

  • Process new applications submitted by advisors and update the status in system
  • Handle insurance carrier emails and forward to relevant advisors
  • Update carriers contact list as needed
  • Handle advisor room/desk rental fee
  • Coordinate weekly insurance carriers training for advisors
  • Carry out other ad-hoc duties as required

Qualifications:

  • Degree in Business Administration or equivalent
  • At least 2 years of experience in front desk administration/ office administration
  • Excellent verbal and written communication skills
  • Fluency in English and Cantonese required
  • Proficiency in Microsoft Office application, including Words, Excel, PowerPoint and Teams
  • Attentive to detail and well organized
  • Ability to work independently and efficiently in a fast-paced environment
  • Capable to handle and prioritize multiple projects simultaneously
  • Knowledge of financial industry preferred but not required

Job Types: Full-time, Permanent

Schedule: 7 hours

Salary: $50,000-$53,000 per year subject to working experiences
