Position: Medical Office Administrative Assistant (Maternity Leave Coverage)
Department: Nuclear Cardiology
Reports to: Director of Operations and Nuclear Cardiology Administrative Coordinator

Position: Temporary Full-Time (with potential for part-time)

Start Date: Immediate

Overview
We are seeking a detail-oriented and organized Medical Office Administrative Assistant to join our Nuclear Cardiology Department at our Mississauga location for maternity leave coverage. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical office, providing exceptional front desk support, and facilitating effective communication between patients and healthcare providers. This position requires familiarity with medical terminology and proficiency in electronic medical records systems.


Key Responsibilities:

Customer Service:

  • Greet patients warmly and update their appointment status.
  • Answer and direct incoming calls.
  • Handle inquiries professionally and courteously.
  • Provide quality customer service and administrative support.
  • Collaborate with coworkers to ensure quality patient care working independently and also as part of a healthcare team.

Data Management and Organizational Skills:

  • Perform clerical tasks with accuracy and proficiency.
  • Perform OHIP checks, assist with and manage billing.
  • Schedule and confirm and appointments.
  • Data entry of patient information, including document upload and scanning.
  • Maintain accurate patient records using electronic medical records systems such as Cerebrum.
  • Ensure all documentation is accessible, accurate and filed correctly
  • Ensure the office environment is clean, stocked with required supplies and welcoming for patients.

Qualifications:

  • Completion of an accredited Medical Secretarial Course or equivalent experience.
  • Minimum 1 year administrative experience in a healthcare setting
  • Experience with patient databases and appointment scheduling software are assets.
  • Proficiency with Microsoft Office applications.
  • Familiarity with medical terminology is essential for effective communication.
  • Proficiency in using phone systems and office equipment.
  • Experience with electronic medical records (EMR) systems such as Cerebrum is highly desirable.
  • Strong organizational skills and attention to detail to manage multiple tasks efficiently.
  • Excellent interpersonal skills to interact positively with patients and staff.
  • Ability to work in a fast-paced environment while maintaining professionalism.
