SUMMARY
The Shipping and Receiving Manager oversees the daily operations of inventory management, and shipping and receiving of our finished goods from our print and lettershop production teams. This role ensures that all products, such as printed publications, transactional and direct mail, packaging materials, and raw materials, are accurately and efficiently managed to meet client expectations. The manager coordinates with production, scheduling, quality assurance, and customer service to streamline workflows and maintain high levels of service throughout.

DUTIES & RESPONSIBILITIES
1. Adhere to Health and Safety Policy and to report all unsafe and unhealthy work conditions
2. To produce quality work effectively and efficiently.
3. Adhere to the AIIM Security Policy and report any, and all violations to the Security Policy.
4. Shipping & Receiving Operations
Manage the intake, storage, and dispatch of printed materials, raw supplies (paper, inks), packaging, consumables, and client supplied items to meet production schedules.
Plan and coordinate outgoing shipments, prioritizing based on client deadlines and quality standards.
Optimize workflow between production and shipping departments to ensure timely and accurate delivery.
5. Inventory Control
Oversee the organization and storage of inventory, ensuring materials are readily accessible and organized according to production requirements.
Work with procurement to maintain optimal inventory levels of consumables, such as paper and ink, reducing excess stock without causing delays in production.
Conduct regular audits and cycle counts to ensure inventory accuracy and address discrepancies.
Organize the warehouse layout and storage to optimize speed of picking and return of unused inventory and develop plans for seasonal changes in storage requirements.
6. Quality Control
Collaborate with quality assurance to check the condition of incoming materials and finished goods, ensuring adherence to customer specifications and industry standards.
Monitor packaging and labeling accuracy to maintain consistency with client branding and product specifications.
Coordinate with the production team to address and resolve any quality issues before shipping.
7. Staff Management and Training
Lead, train, and manage a team of shipping and receiving associates, emphasizing safety, quality, and accuracy.
Conduct regular performance evaluations, coaching team members, and setting achievable goals aligned with department objectives.
Enforce safety protocols specific to a printing production environment, including safe handling of chemicals and inks, heavy materials, and equipment.
8. Logistics Coordination
Coordinate with carriers and delivery companies to schedule pick-ups, track shipments, and negotiate delivery terms to maintain cost efficiency.
Communicate with clients, production teams, and customer service to resolve shipping delays, damaged products, and other logistics concerns.
Manage packaging supplies to ensure adequate stock for safe transit of printed products.
9. Documentation and Compliance
Maintain accurate shipping and receiving records for regulatory compliance and auditing purposes, with attention to customer and internal standards.
Ensure all paperwork, including bills of lading, packing slips, and shipping labels, is accurately completed and accompanies all outgoing shipments.
