JOB SUMMARY:
The role of Scheduler will manage and coordinate job scheduling in our production facility. This role ensures efficient workflow, timely order fulfillment, and optimal resource utilization. The Scheduler will work closely with all production teams, customer experience (CX), and clients to align priorities, resolve scheduling conflicts, and maintain quality standards.
QUALIFICATIONS & REQUIREMENTS
Previous experience in scheduling, production planning, or workflow coordination within the printing industry preferred.
Strong understanding of print production processes, equipment, and materials (offset, digital, large format, packaging, etc.).
Proficiency in ERP/MIS software for scheduling and job tracking.
Strong analytical and problem-solving skills with the ability to adjust schedules quickly.
Excellent communication and teamwork skills to coordinate across departments.
Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
Ability to engage with senior level management and take the lead at daily production meetings.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Preferred Qualifications:
Knowledge of prepress, printing and finishing operations such as bindery and lettershop
Background in Customer Service, Order Management or Department Leadership within the printing industry
DUTIES & RESPONSIBILITIES
1. Adhere to Health and Safety Policy and to report all unsafe and unhealthy work conditions
2. To produce quality work effectively and efficiently.
3. Adhere to the AIIM Security Policy and report any and all violations to the Security Policy.
4. Develop and maintain daily and weekly production schedules based on order requirements, material availability, and machine capacity.
5. Collaborate with production teams, sales, and customer service to prioritize jobs and adjust schedules as needed.
6. Monitor job progress and proactively address delays, bottlenecks, or resource constraints.
7. Ensure schedules align with customer deadlines while maintaining high-quality production standards.
8. Communicate schedule changes to relevant departments, ensuring smooth workflow coordination.
9. Confirm with procurement and inventory teams to ensure availability of materials for scheduled jobs.
10. Optimize machine utilization by sequencing jobs efficiently and reducing setup times.
11. Identify and recommend process improvements to enhance scheduling efficiency and reduce costs.
12. Ensure compliance with safety and quality standards throughout production scheduling.
