HUMAN RESOURCES ASSISTANT

(MODIFIED FULL TIME - 0.8FTE)

The Wellington Health Care Alliance (WHCA) is currently accepting applications for a modified full time (0.8FTE) Human Resources Assistant to join our Human Resources team reporting to the CHRO.

The Wellington Health Care Alliance (WHCA) is comprised of two corporations with more than 1,000 staff, including physicians and volunteers, operating three vibrant acute care hospital sites: Groves Memorial Community Hospital (Fergus), and North Wellington Health Care (Louise Marshall Hospital in Mount Forest & Palmerston and District Hospital in Palmerston). The homesite for this position will be Groves Memorial Community Hospital.

Hours of Work:30 hours per week (Monday - Friday, daytime hours)

Salary Range: $29.72 - $34.77 per hour

POSITION SUMMARY:

The Human Resources Assistant is a critical member of the human resources team. The position is involved with and supports a variety of human resources activities that run the gamut of the employee cycle from hire to retirement. This includes but is not limited to activities related to recruitment; job posting; payroll entry/modification; coordination of orientation and education activities; and maintenance of employee records. The HR General Assistant also provides administrative support to the Chief Human Resources Officer.

SUMMARY OF KEY RESPONSIBILITIES:

General HR Administration and Customer Service:

  • Greet all visitors to HR department, answer questions and direct to appropriate staff member for assistance
  • Administration of the HR general email inbox
  • Prepare Confirmation of Employment Letters and Confirmation of Hours Letters
  • Coordinate HR activities and events (i.e. Volunteer Appreciation, Long Term Service)
  • Support volunteer service coordinators, as needed
  • Coordinate and assist in the facilitation of the General Orientation program
  • Create and maintain electronic employee and job files
  • Provide support to HR Department, including Agendas, Minutes, Learning Packages, Communication Activities etc. as assigned by the CHRO
  • Coordinate all documentation related to students, including Nursing and Co-op students
  • Provide administrative support to the Occupational Health department for Return to Work and Benefit Coordination as needed
  • Other Human Resources activities as assigned

Administration of Recruitment Activities:

  • Work with the HR Business Partners/Recruitment and Retention Specialist on recruitment activities consistent with HR policies and procedures
  • Coordination of internal and external job postings
  • Prepare and provide offer letters and new hire packages to successful candidates
  • Coordinate with successful candidates to complete onboarding documentation, and work with internal partners to complete the onboarding process
  • Run regular reports as set out in our Collective Agreements, including: Staffing, Agency Use, Hours Worked, Seniority reports and other reports as required
  • Ensure all new employees, students, etc. are given direction, links, information and access to their onboarding and orientation packages for completion prior to start dates

Payroll:

  • Entry of new employee data and submit employee change forms to payroll for processing
  • Assist with report generation and creation as required by the Collective Agreements as well as the Human Resources Department

QUALIFICATIONS:

  • An undergraduate degree in Human Resources, or related field/post-graduate education in Human Resources
  • Strong technical skills and experience utilizing Microsoft Office Excel Spreadsheets, Outlook, Word and PowerPoint
  • Great attention to detail and ability to manage multiplepriorities/projects while meeting deadlines
  • Exceptional verbal and written communication skills
  • Excellent organizational and time management skills
  • Have an understanding that recruitment is a patient safety issue
  • Satisfactory performance and attendance required
  • Satisfactory Reference Checks required prior to start date
  • Must provide a Police Vulnerable Sector Check
  • Must complete a Pre-Employment Health Assessment prior to being hired

YOU WOULD STAND OUT IF YOU:

  • Have your CHRP (Certified Human Resources Professional) designation
  • Have experience with Human Resources Information Systems
  • Are passionate about customer service

Travel will be required to our sites at Groves Memorial Community Hospital, Palmerston & District Hospital and Louise Marshall Hospital, so a valid drivers license and reliable vehicle is required.
