We are looking for a motivated Program Support Worker to join our Newcomers Building Program team! Not sure if you're 100% qualified? We encourage you to apply anyway!

POSITION FUNCTION:

The Program Support Worker provides administrative and client support services. Provides support in the planning and coordination of programs and services for Seniors, MAP Alliance, and LGBTQI2S+ communities. The program support worker completes tasks to support multiple programs in both direct client service delivery programs (IBelong, Seniors) as well as non-direct program delivery - (The Alliance for Case Management).
KEY RESPONSIBILITIES:
Admin Support

  • Filing, iCare uploads, photocopying, emailing, minute-taking, and word processing documents for the manager and staff as needed.
  • Collect, monitor, and compile client profile and intake information, day-to-day program statistics, and quantitative data as required, and input them into the appropriate databases in a timely manner.
  • Provide administrative support for reports, client records, and forms. Maintain confidentiality in all matters related to client information.
  • Provide administrative support, including scheduling meetings, coordinating logistics, and maintaining program documentation
  • Prepare flyers, leaflets, and advertising for program as required.
  • Conduct client outreach and engagement to connect newcomers and vulnerable populations with settlement resources.
  • Verify accounting codes and process invoices related to program/departmental costs.
  • Maintain the inventory and order office/class/program supplies.
  • Organize photocopier codes, generate monthly photocopy billing reports, and forward to Finance & Administration. Provide simple photocopier trouble-shooting and maintenance.
  • May maintain employee files re attendance, holidays, and sick time.
  • assist staff to plan special events (i.e. forums, dialogues, and community events) for clients and act as a central contact for special events

Facility Support

  • Provide general orientation to the facilities for clients/community partners/stakeholders both in person and over the phone
  • Maintains order and cleanliness of assigned areas of the facility
  • Responsible for conducting or working with the manager to conduct all emergency drills
  • Monitors the need for repairs, equipment maintenance, and upgrades and liaises with Operations and outside contractors
  • Maintains a welcoming, inclusive, family friendly environment that provides safety and security for clients

Client Services

  • Provide information and referrals for telephone and walk-in inquiries to MOSAIC and community programs and services
  • Conduct client outreach and engagement to connect newcomers and vulnerable populations with settlement resources
  • Be familiar with enrolment procedures and policies and program/operations policy manual
  • Promote program to interested clients, and answer client questions both in-person and by email regarding registration. Refers complex questions to manager for follow-up
  • Register clients using appropriate database and procedures and ensure required payments are received and processed
  • Keep client attendance records and forward monthly reports and attendance sheets
  • Assist in developing and maintaining cross-referral pathways among service providers to enhance client support.
  • Understand and participate in the evaluation of the program or project; assists with administration of feedback surveys.
  • May document client activities in data base(s),
    • Assist in data collection and program evaluation to measure impact of program and/or services and improve services

QUALIFICATIONS:

Knowledge

Documentation of services and diversity, standard office equipment, and specific knowledge related to the function or the focus of the program, project, or service


Education/CertificationsHigh School completion and training or experience related to standard office equipment practices.
Skills/Abilities

Experience

Several years of experience with reception and office procedures. At least one year of experience working in a client oriented position, or a related field working with immigrant populations and/or diverse cultural backgrounds, and/or comparable education or other program, project or focus specialties. Fluency in a second language is an asset.

Physical Requirements

Sitting, standing, bending, and ability to lift 10 k.

HOURS: Full-Time35 hours per week.

The successful candidate may be permitted to work a hybrid work model (combination of in-office and remote work).

Candidate must be able to commute to 5575 Boundary Rd.Vancouver, British Columbia (Hybrid)
