Job Title: Junior Accountant (Receivables Experience)
Location: Mississauga, Ontario
Industry: Trucking / Petroleum / Gas Card Services

Job Description:

We are seeking a detail-oriented and motivated Junior Accountant with experience in accounts receivable to join our team in Mississauga. The ideal candidate will have experience in the trucking and petroleum industry, knowledge of gas card services, and hands-on experience with QuickBooks. Key Responsibilities:

The duties of a Junior Accountant can vary depending on the company and industry, but generally, they involve providing support in financial operations and maintaining accurate financial records.

1. Accounts Payable and Receivable

  • Accounts Receivable (A/R):

  • Track incoming payments, process invoices, and manage the aging of receivables.

  • Follow up on overdue payments and ensure that all receivables are collected in a timely manner.

  • Assist in reconciling customer accounts.

  • Accounts Payable (A/P):

  • Process invoices and ensure timely payments to vendors and suppliers.

  • Ensure that invoices are properly coded and approved before payment.

  • Reconcile supplier accounts and address any discrepancies.

2. Bank Reconciliation

  • Reconcile company bank accounts with internal records to ensure accuracy.

  • Ensure that all transactions are properly recorded, and discrepancies are resolved.

  • Assist with preparing monthly and year-end bank reconciliation reports.

3. General Ledger Maintenance

  • Assist in maintaining the general ledger by posting journal entries for daily transactions.

  • Ensure all accounting records are accurate and up to date.

  • Assist with month-end and year-end closing processes.

4. Financial Reporting

  • Assist in preparing monthly, quarterly, and annual financial reports.

  • Prepare balance sheets, income statements, and cash flow statements.

  • Help in analyzing financial data to ensure the integrity of financial information.

  • 5. Tax Compliance

  • Help in preparing tax returns and maintaining necessary documentation.

  • Assist with sales tax filings, payroll taxes, and other tax-related tasks.

  • Ensure compliance with tax regulations and deadlines.

6. Data Entry and Documentation

  • Enter financial data into accounting software or spreadsheets (e.g., QuickBooks, Excel).

  • Maintain organized and up-to-date accounting records.

  • Ensure proper documentation for audits, taxes, and financial reports.

7. Budgeting and Forecasting Assistance

  • Assist with the preparation and monitoring of budgets.

  • Provide support in forecasting financial outcomes, helping the senior accounting team with projections and financial planning.

8. Audit Support

  • Assist in preparing for internal or external audits by providing necessary documentation and reports.

  • Help address auditor inquiries and ensure compliance with company policies and regulations.

9. Expense Management

  • Monitor and report on company expenses.

  • Help ensure that expenditures stay within budget and highlight any variances to senior accountants.

10. Financial Analysis

  • Assist in analyzing financial data to identify trends, irregularities, or areas for improvement.

  • Prepare reports and summaries based on financial analysis to assist senior staff in decision-making.

11. Administrative and Miscellaneous Tasks

  • Perform other administrative tasks, such as filing and organizing financial documents.

  • Assist with ad-hoc financial projects or tasks as needed

  • Accounts Receivable Management:

    • Manage and process accounts receivable transactions, including invoicing, payment processing, and customer reconciliations.

    • Monitor overdue accounts, follow up with clients for timely payments, and ensure accurate records are maintained.

    • Process and reconcile payments and resolve discrepancies promptly.

    • Assist with collections and ensuring accounts are kept current.

Petroleum/Gas Card Reconciliation:

  • Handle the reconciliation of gas card accounts and transactions, ensuring accurate billing and payment records for customers.

  • Work closely with the gas card providers and internal teams to address any discrepancies or issues related to gas card usage and balances.

Data Entry and Reporting:

  • Prepare and maintain accurate records of financial transactions within QuickBooks, ensuring all data is entered in a timely and precise manner.

  • Assist with the preparation of monthly, quarterly, and annual financial reports, including A/R aging reports and cash flow statements.

  • Track customer accounts and ensure compliance with payment terms and internal policies.

QuickBooks Expertise:

  • Utilize QuickBooks to generate reports, track transactions, and ensure accurate financial data entry.

  • Assist in the month-end and year-end closing process by ensuring all receivables and other related entries are accurate.

Qualifications:

  • Education:

    • Bachelor's degree in Accounting, Finance, or related field, or equivalent experience.

  • Experience:

    • 3 years of experience in an accounting role, with a focus on accounts receivable.

    • Previous experience in the trucking or petroleum industry is preferred, especially with gas card services.

    • Proficient in QuickBooks and general accounting software.

    • Strong understanding of accounts receivable processes and procedures.

    • Basic knowledge of general accounting principles and financial regulations.

  • Skills:

    • Strong analytical skills and attention to detail.

    • Excellent communication skills, both written and verbal.

    • Ability to handle sensitive information and maintain confidentiality.

    • Time management and multitasking abilities in a fast-paced environment.
