Job Summary:

The Service Administrator will provide support to our Service Admin/Tech team.

Key Responsibilities:

  • Draft and send welcome letters to all new customers.
  • Ensure the sales team is aware of any new customer accounts and updates
  • Update customer sites with relevant warranty information, including:
    • Warranty letter
    • Alerts regarding warranty periods
    • Equipment list
    • Added contact details (mainly for contract-related work)
  • Oversee the COI database from start to finish, ensuring all documents are accurate and up to date
  • Prepare and distribute weekly reports detailing service technician usage for projects
  • Assist with opening and closing Work Orders (WO) during vacations and periods of high demand
  • Record and track technician licenses and expiration dates.
  • Monitor any requests related to furthering technicians' apprenticeship programs (via spreadsheet).
  • Oversee apprenticeship onboarding and coordinate work studies for apprentices
  • Quantify customer inquiries and ensure they are addressed in a timely and efficient manner
  • Manage and maintain the N: Drive Service Folder, ensuring all relevant documents and files are organized and accessible
  • Track and manage technician expenses, ensuring they are properly accounted for.
  • Submit and track warranty claims to ensure all are processed in a timely manner
  • Manage the TAP process, including technical support and related tasks
  • Open and close work orders in Metrix.
  • Create purchase orders (POs) related to work orders and handle P-Card reconciliation and billing
  • Generate reports using Metrix, JDE, and WEBFOCUS systems
  • Regularly update and create email contact lists and distribute them to relevant team members
  • Review and ensure accuracy of Requests for Proposals (RFPs) and verify all necessary inclusions
  • Assist Sales Team with creation of maintenance agreements, quote preparations, etc.
  • Follow up with customers for submitted quotes/proposals.
  • Perform any other duties as assigned by management or the team

Qualifications:

  • 1-2 years administrative/accounting experience
  • Knowledge of JD Edwards is an asset
  • Proficiency in MS Office applications; Excel is essential
  • Excellent customer service skills
  • Excellent verbal and written communication skills
  • Ability to exercise independent judgment and take initiative
  • Ability to work effectively under pressure
