Export Coordinator

Department: Operations

Reports to: Logistics and Order Desk Manager

Location: Chilliwack, BC

Hours of Work: Full-Time Permanent

Your Role at Petcurean: As the key member of the Operations team, the Export Coordinator is responsible for Petcurean's supply chain and ensuring efficient processing of export orders. This multifaceted position involves coordinating transportation services and serving as the primary liaison between Petcurean, customers, and carriers. With exceptional interpersonal skills, the Export Coordinator is responsible for nurturing relationships with stakeholders both internally and externally, ensuring seamless communication among all parties involved.

The Export Coordinator serves as the first point of contact for International Customers during order submissions. With a knack for performing under pressure and an exceptional ability to stay organized and detail-oriented, the Export Coordinator is responsible for handling the transportation needs of both internal and external customers. With a high level of accuracy, a solutions-focused mindset, and the ability to thrive in a fast-paced environment, the coordinator completes a wide range of tasks associated with the supply chain processes. This includes resolving any problems or concerns related to the order process and transportation of shipments, whether to or from the warehouse or elsewhere.

This role is responsible for customs documentation and general regulatory and compliance documentation requirements.


If you were the Export Coordinator now, here are some of the core activities you would be doing:

Logistics & Coordination of Product Transportation:

  • Monitor, schedule, and dispatch deliveries while adhering to our internal and external policies, procedures, and regulatory compliance requirements to meet stakeholder demand with minimal delay.
  • Maintains accurate computer records in the SAGE (MRP system) and MS Office Suite of programs of all transportation details (soon to switch over to ERP system)
  • Demonstrating discretionary authority, ensuring the transportation of freight on behalf of Petcurean and customers are handled efficiently and profitably and without loss or damage
  • Plan optimal loads for Export loads and tracks shipments of final products according to customer requirements through using Supply Chain Department tools.
  • Demonstrates prompt, polite and customer-centric communication during the shipping and receiving of products both to and from the warehouse and manufacturers, as well as on behalf of customers
  • Demonstrates accountability by anticipating and defusing potential problems, which could include face-to-face, phone or email interactions with customers and carriers.
  • Maintains awareness and thorough understanding/accuracy of managing customs documentation and requirements for the many countries that we sell to internationally
  • Demonstrates strong ability to multi-task and prioritize workloads during high volumes

Order Entry:

  • Maintains a high level of professionalism while answering phone and email inquiries, orders and complaints.
  • Demonstrates a high level of accuracy while processing distributor purchase orders.
  • Collaboratively maintains open communication with the Inventory Planner to determine available inventory and shipping dates.
  • Demonstrates a pro-active approach to reporting any revisions or shortages to the customer, always focusing on the solution and support.
  • Maintains quick and accurate response times with customers, anticipating issues and revising orders based on customer feedback; following up to provide final order confirmation to customers.
  • Through anticipating shipping dates, consistently sends orders to manufacturer along with shipping dates.
  • Coordinate with the overall operations teams and other service providers.
  • Pro-actively update the internal Order Tracker and SAGE MRP/ERP system.

  • Well-versed in supply management principles and practices.
  • Strong attention to detail, and office administration skills.
  • Proficient with Microsoft Suite (Word, Excel, Powerpoint etc)
  • Strong communication skills both written and verbal.
  • Ability to work collaboratively in a team environment.
  • Proven solutions-focused outlook.

  • Minimum of 2 years' experience in logistics coordination, transport dispatch, or Order Coordinator role or similar position.
  • Equivalent to high school graduation with 1-2 years of post-secondary education in Business Administration, Transportation, Supply Chain, or International Commerce is preferred.
