The Pre-Construction Coordinator plays a critical role in the early stages of project development, supporting all aspects of the pre-construction phase, including opportunity tracking, estimate preparation, and coordination with various stakeholders. This position requires a high level of organization, attention to detail, and strong communication skills to ensure the successful transition from project opportunities to formal construction phases.
Roles & Responsibilities:
Opportunity Management:
· Participate in all opportunity-related communications and emails.
· Complete and distribute Opportunity Summaries for new opportunities received.
· Collaborate with the Estimating Manager to assign the appropriate Estimator for each project.
· Confirm the "Go/No Go" status of estimates and assign Estimators accordingly.
· Update the RFP Tracker (Estimating Overview) with new opportunities and relevant details.
· Review daily opportunity emails from the Tenders Group and complete Opportunity Summaries.
· Attend pre-bid and upcoming meetings with clients to discuss potential projects.
· Track and monitor all upcoming opportunities.
Estimate Coordination:
· Manage Expression of Interest (EOI) type estimate opportunities (non-pricing).
· Stay involved in all estimate communications from Tenders, Contracts/Legal, or internal business units.
· Update and maintain the Estimate section within the RFP Tracker.
· Develop and complete RFP Project Plans (Estimate Planner) for each estimate.
· Schedule and coordinate IR Review Meetings with the Senior Director of IR.
· Book internal and executive review meetings prior to submission deadlines.
· Arrange legal review meetings with Contracts/Legal, the Estimating Manager, and the assigned Estimator.
· Lead weekly Estimate Review Meetings to track progress and address issues.
· Ensure the completion of Fleet requests.
· Collaborate with the Manager of Technical Services/Procurement team to ensure procurement of three bids and one buy.
· Review and update review documents and written deliverables templates, including Review Documents, DoRs, UoW, Execution Plans, and Assumptions.
· Oversee the completion and review of all estimate deliverables.
· Work with the Director of Construction on the submission of UoW, Execution Plans, and Assumptions.
· Confirm the completion of Estimate Overviews.
· Tracking of clairifications, coordinating with the estimator on the project, scheduling reviews of clarification logs with Management.
Post-Bid Coordination:
· Participate in all post-bid communications and presentations.
· Review and address post-bid clarifications with the Estimator.
· Schedule and coordinate post-bid clarification meetings with the leadership team, as needed.
· Respond to clients with post-bid clarifications in a timely and accurate manner.
· Ensure all post-bid clarifications are managed properly.
Post-Award Coordination:
· Facilitate estimate handover meetings with the Estimator, Estimating Manager, Project Manager, Construction Manager, and Director of Construction.
· Act as the liaison between the Project Management Team and the Estimating Team during the post-award and execution phases.
· Facilitate all actions post award with Estimating and execution teams
Project Closeout:
· Participate in project closeout meetings with the Estimator, Estimating Manager, Project Manager, Construction Manager, and Director of Construction.
Miscellaneous:
· Assist with various pipeline activities and reporting as necessary.
· Facilitator for all Estimating and Management interaction's
· Facilitator between estimating and Construction team post award and into execution
Requirements
Knowledge & Skills:
- A degree in Construction Management, Civil Engineering, Architecture, or a related field is highly preferred.
- Courses in Project Management, Business Administration, or other relevant areas can be beneficial
- 3 -5 years of experience
- Hands-on experience in construction, pre-construction, or project management roles.
- Experience in coordinating large-scale projects, including managing timelines, budgets, and resources.
- Proficiency in project management software (e.g., MS Project, Primavera P6) and estimating tools (e.g., Bluebeam, Procore, PlanSwift).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and projects simultaneously.
- Experience in pre-construction or construction coordination is preferred
- Proficiency with relevant software and tools, including project management and tracking systems.
