The Saskatchewan Liquor & Gaming Authority is seeking a self-motivated and detail-oriented individual to provide support as a Records Management Specialist within the Financial Services Branch.
This position is required to work on-site.
The Records Management Specialist plays a crucial role in overseeing the comprehensive management of the Saskatchewan Liquor and Gaming Authority's (SLGA) physical and digital records. This position involves close collaboration with Saskatchewan Archives, moving services, shredding facilities, and SLGA staff to efficiently organize, retrieve, and dispose of records. The incumbent will deliver expert records and information management services to SLGA and serve as the authority on the Electronic Records Management (ERM) system. Responsibilities include maintaining SLGA's records retention policy and contributing to the development and oversight of processes related to archiving, procurement, and records retention.
This role supports the Procurement Consultant by compiling, organizing, issuing, and reviewing procurement-related documents and requests, which include requests for proposals, quotations, information, and resources.

Primary Responsibilities
  • Assist with the creation and implementation of business procedures and processes, standardization and indexing of records.
  • Maintain and manage all aspects of paper and electronic files including proper coding, classification, filing, and retrieval of documents.
  • Assist with the creation, maintenance and ensure proper disposition and review of records for compliance and risk management.
  • Provide technical, advisory, analytical work, and continued support of SLGA's EDRMS.
  • Coordinate SLGA's migration of structured and unstructured documents into a structured EDRMS environment.
  • Maintain systems and controls of records (both physical and digital) including working with other areas to build and enhance records management applications and/or working files.
  • Develop and train SLGA staff on the processes and provide administration for access to ERM system as required.
  • Provide advice and support the maintenance and periodic reviews of corporate records classification and retention schedule.
  • Develop, implement, maintain, and update electronic records management system, processes, and procedures.
  • Work with the provincial archivist on review, retrieval and/or destruction of electronic and paper documents.
  • Coordinates the final disposition process of corporate records that have been assigned, scheduled, and approved.
  • Keeps current on new and emerging records and information management regulations, technology, and trends.
  • Assist the financial services branch with any applicable month-end reporting and/or record-keeping requirements.
  • Collaborate with the Procurement Consultant on E-requestor purchase orders and other procurement duties.
  • Assist with overseeing the mailroom staff and their operations.
Required Technical Knowledge, Skills and Qualifications
  • A degree or diploma in Business Administration, Records Management, or a related equivalent supplemented by three (3) years of progressive records or information management experience or equivalent work experience.
  • Certificates such as Certified Records Manager (CRM), Certified Information Professional (CIP), or Certified Information Privacy Professional (CIPP) designation would be an asset and/or a related professional designation(s) and/or certification(s).
  • Extensive knowledge of records and information management concepts, policies, procedures, regulations and systems, applicable to both physical and electronic information including information classification systems, taxonomies, records disposition methods, and interpretation of applicable legislation and policies.
  • Strong technical aptitude with excellent proficiency in the use of records and information management software including EDRMS and Microsoft solutions, with a focus on Microsoft SharePoint.
  • Excellent facilitation, project management, problem-solving, and decision-making skills.
  • Ability and willingness to learn new applications and technologies independently.
  • Ability to understand, analyze and document complex business processes and recommend appropriate changes or improvements to the processes.
  • Ability to input, edit, update, retrieve, merge, maintain, format and transmit data utilizing word processing, database, spreadsheet, communications and other software packages with speed and accuracy.
  • Excellent organizational, analytical and time management skills and the ability to multi-task and prioritize workloads efficiently while effectively managing various projects.
  • Strong written and oral communication skills with the ability to deliver information effectively in group and individual training sessions.
  • Strong attention to detail and the ability to provide accurate results.
Physical Requirement
  • Ability to be able to push, pull, lift, and carry weights up to 23 kg (51 pounds).
Working Conditions
Core office hours are 8:00 a.m. and 4:45 p.m. Monday to Friday, with earned days off taken at their own
discretion excluding statutory holidays such as New Year's Day, Good Friday, Easter Sunday, Remembrance
Day and Christmas Day. The majority of the work day is spent sitting at a desk keyboarding. The Records Management Specialist must demonstrate their commitment to safety by consistently ensuring the well-being of themselves and others in the workplace.
Up to 10% of travel may be required within Regina.
