Job DescriptionOur Customer Service Representatives are the first point of contacts with the public, via front counter reception and telephone. This position greets and directs customers, processes cash receipts, provides information on County services and works closely with the Cash Control department and all other departments.
This position also provides financial assistance to the Cash Control department through various financial and administrative duties. Our Customer Service Representatives are continually cross training and sharing duties to ensure excellent customer service to our internal and external customers. Duties of this position include:
- Establishing and maintaining a positive relationship with various County departments and visitors to the County including taking payment, answering questions and directing to appropriate staff or department.
- Answering phone calls, voicemails and e-mails including directing to appropriate staff or department.
- Cross training and coverage for other departments for team events, functions or meetings.
- Sorting incoming and outgoing mail to ensure timely delivery.
- Entering and verifying financial data into multiple accounting systems with accuracy.
- Undertaking daily cash receipting and answering account inquiries.
- Preparing and balancing cash receipt batches of electronic payments.
- Inputting cheques into cash receipt system and balancing/preparing bank deposits.
- Administering and balancing cash and general credit cards transactions.
- Creating on-line access profiles for users to order tax certificates.
- Supporting the Accounts Receivable and Accounts Payable with invoicing and statements.
- Notifying/alerting appropriate staff of unusual, sensitive or emergency situations.
- Opening, date-stamping and distributing incoming mail and faxes including receiving and signing (goods received) for incoming courier packages.
- Processing outgoing mail through the postage meter; replenishing postage stamp supply as needed.
- Coordinating County map updates, monitors good inventory and re-ordering as needed.
- Awareness of all County projects and providing support as needed.
- Assisting with incoming grant funds and working with departments for accuracy of reporting.
- Preparing purchase orders.
- Creating website and intranet posts relating to messaging from the department.
- Assisting with document preparation and review for users and Council.
- Supporting special events and advertising for County events.
Education and Experience:
• Post-secondary diploma or degree in Business, Accounting/Finance, or equivalent.
• Minimum 2 years of experience in a Customer Service role, in an office setting.
• Excellent computer skills, including Office 365.
• Experience with cash receipting and data entry.
• A strong financial background including A/R and A/P.
• Experience working for a municipality an asset.
Knowledge and Skills:
• Strong computer skills, and proficiency with Microsoft office.
• Excellent written communication skills.
• Excellent problem solving and customer service skills.
• Strong attention to detail and organization skills.
• Ability to work as part of team, cross train, and remain flexible within a changing work environment.
• High degree of discretion, sound judgment and professionalism.
• Ability to maintain a high degree of accuracy and consistency when performing duties.
• Ability to communicate tactfully, clearly and effectively while exercising judgment to deal effectively with customers, ratepayers and other County employees.

Work Schedule: This position works Monday to Friday, from 8:30am - 4:30pm.
Hourly Wage: $33.47 - $39.37
