Who we need
The Executive Assistant to the President, SVP Data Analytics & Operations, and Head of Corporate Development & Strategy plays a critical role in providing high-level executive support, ensuring seamless coordination of their schedule, communications, and priorities. This position is designed for an experienced and highly organized professional who can effectively manage executive-level responsibilities while also overseeing office operations. The role requires exceptional attention to detail, discretion, and the ability to work with senior stakeholders, including Board members and external executives. Additionally, the Executive Assistant will collaborate with the Executive Assistant & Brand Coordinator to maintain office efficiency.
This is an onsite role, working at least 4 days per week at the Scene+ office.

As our new Executive Assistant, you will focus on:
Executive Support to the President:
- Manage the President's calendar, ensuring demands are effectively prioritized and time is utilized efficiently.
- Oversee the President's inbox, identifying and highlighting key emails that require urgent action.
- Arrange and coordinate Board meetings, including scheduling, preparing materials, and liaising with external Board member Executive Assistants.
- Handle the President's expense reporting and travel arrangements, including booking accommodations and transportation.
- Prepare meeting minutes for Board & Committee meetings and track follow-ups.
- Notify the President of critical dates, significant changes, or agenda items requiring attention.
- Assist in the preparation and coordinating of materials for meetings
- Review upcoming meetings to ensure necessary preparations, confirm attendee availability, and address logistical details.
Support to Senior Leadership:
- Provide calendar management, administrative support and process travel and expenses for the SVP of Data Analytics & Operations, and Head of Corporate Strategy & Development
Office Coordination & Administration:
- Serve as the primary point of contact for office management, addressing operational concerns, liaising with building management and IT support, managing office and kitchen supply inventory, and overseeing access cards for guests and new/departing employees.
You bring:
- Strong communication skills, both verbal and written – ability to draft concise, professional correspondence.
- Excellent time management, and priority-setting skills to meet tight deadlines.
- The ability to represent the President and senior executives in a professional and polished manner.
- A high level of discretion in handling sensitive and confidential information.
- Strong problem-solving abilities and project management skills to oversee multiple initiatives simultaneously.
- At least 10 years of experience supporting an Executive or Leadership Team.
- Experience managing high-level calendars, executive communications, and Board meeting logistics.
- Strong organizational and administrative skills, with excellent attention to detail.
- Demonstrated ability to achieve high performance goals and adapt to a fast-paced environment.
- A highly resourceful approach as a team player with the ability to work independently when needed.
