Position: Community Events Coordinator

Position Type:Full-Time

The Community Events Coordinator is responsible for planning, organizing, and executing a variety of events within the community and the organization. This role requires strong organizational skills, effective communication, and the ability to manage multiple tasks simultaneously. The ideal candidate will be proactive, detail-oriented, and capable of working collaboratively with various stakeholders.

DUTIES AND RESPONSIBILITIES

Event Planning and Budget Management:

  • Plan and execute events as directed, ensuring they are within the allocated budget.
  • Develop detailed event plans, timelines, and budgets.

Liaison and Coordination:

  • Liaise with other organizers, supervisors, community members, funders, and volunteers as necessary.
  • Foster positive relationships with all stakeholders to ensure successful event execution.

Funding and Sponsorship:

  • Seek out funding opportunities to cover the costs of events where applicable
  • Prepare and submit funding proposals and sponsorship requests.

Booking and Payments:

  • Handle all bookings for the community hall, including taking payments and managing schedules.
  • Ensure all bookings are accurately recorded and payments are processed promptly.
  • Ensure bookings are in accordance with the Community Hall Rental Policy.

Communication and Advertising:

  • Communicate event details in a timely manner to the communications department for advertising and promotion.
  • Ensure all promotional materials are accurate and distributed effectively.

Staff Management:

  • Manage staff and volunteers to support event activities.
  • Provide clear instructions and support to ensure smooth event operations.

Event Oversight:

  • Oversee that events are completed in a professional manner, best representing We'koqma'q.
  • Ensure the entire event, from start to finish, is completed, including set-up and tear-down of events.

Additional Duties:

  • Perform other duties as directed by supervisors.
  • Assist with both external community events and internal organizational events as required.

INNOVATION

The Community Events Coordinator will work to seek out innovation within the provision of events related programming, while working to support the overall well-being of community members, including:

  • Find new ways to engage community members in activities
  • Develop new ideas for events, programs and workshops

  • Day to day decisions in providing events and programs to community

IMPACT OF RESULTS

Results achieved affect the overall health of Waycobah, including community members access to events and entertainment services. This position is key to providing on-going community events and recreation services in the community, and vital to the smooth running of the community.

WORKING CONDITIONS:

Physical Environment

  • Works mainly out of the Band Administration/Camp
  • Some travel for events outside of the community

Physical Effort

  • Requires sitting and working at a computer and telephone
  • Often requires light lifting of materials and equipment

Sensory Attention

  • Requires multi-tasking and shifting attention between different activities and clients.

Mental Pressures

  • Often requires working with a population that has many health challenges
  • The role can be very busy at times and it is challenging to meet everybodys needs and ensure that each client accesses respectful and diligent service.

EDUCATION, EXPERIENCE AND PERSONAL ATTRIBUTES

  • Proven experience in event planning and coordination.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with diverse groups of people.
  • Proficiency in budgeting and financial management.
  • Experience in seeking and securing funding or sponsorships is a plus.
