Position Summary

The Project Administrator oversees key project components, including managing priorities with leadership, maintaining accurate Records of Consultation, auditing and preparing payment packages, and ensuring attention to detail across all requirements for high-quality client output. This role demands adaptability as priorities and deadlines may shift.

Accountabilities

As a key member of the Canada West Land team this position will be responsible for a variety of tasks that are essential to our operations. Accountabilities will include:

Documenting Meeting Proceedings

  • Attend project meetings, meticulously document discussions, and distribute comprehensive meeting minutes to all relevant stakeholders. Ensure follow-up on action items.

Managing Project Priorities

  • Develop and maintain a detailed project priority list, ensuring tasks are systematically organized and deadlines are consistently met. Regularly update the list to reflect project progress and any changes.

Auditing Project Communication

  • Conduct thorough audits of consultation logs to ensure accuracy and completeness. Identify and report any discrepancies to the Project Manager for resolution.

Auditing Financial Requests

  • Perform detailed audits of trust account requests to verify compliance with project guidelines and financial regulations. Promptly address any identified issues.

Preparing Payment Packages

  • Update in-house database with payment details and prepare payment packages with executed cheques and backup documentation to be sent to the field for Land Agents to present to stakeholders.

Providing Comprehensive Support

  • Offer extensive support to the Project Manager and project team, including administrative tasks, resource coordination, and proactive problem-solving.

Other projects and responsibilities as assigned.

Experience and Qualifications

We welcome candidates with a blend of relevant experience and/or education. The ideal candidate will demonstrate:

  • Previous experience in an office environment (an asset)
