The role of the Customer Contract Administrator is to document and process contracts and proposals, participate in negotiations, review contractual terms and conditions and collaborate with internal departments to ensure that contractual obligations are fulfilled.
Essential Functions:
- Maintain the contract database and all associated files.
- Assist with contract template maintenance.
- Organize and document contracting and proposal activities.
- Prepare and review quotations, formal proposals and contracts.
- Participate in negotiations review contractual terms and conditions as required.
- Prepare and/or review contractual modifications, extensions and closeout documents.
- Notify the Finance Department of contract-related billing requirements.
- Monitor contract execution to ensure contractual obligations are fulfilled.
- Pro-actively ensure that contract renewals are initiated in a timely manner.
- Escalate near-term and overdue contracts.
- Ensure contract and proposal review process is followed.
- Ensure limits of authority on contract signatures are followed.
- Prepare and distribute reports and statistical data to facilitate contract planning.
- Back up co-workers as required.
- Participate in special projects as required.
- Must be proficient in contract development, contract standards and legal terminology.
- Must be customer service oriented. Understand customer expectations and be motivated to exceed expectations.
- Must be able to deal tactfully with clients and colleagues at all levels of the organization.
- Must be persuasive, positive and diplomatic.
- Must be able to work both independently and in a team-oriented collaborative environment.
- Must be able to effectively prioritize and execute tasks in a high-pressure environment and be capable of adapting to shifting priorities in the daily workload.
- Strong written and oral communication skills.
- Strong analytical and problem solving skills.
- Proficient in the use of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- Experience with SalesForce.com would be an asset.
- French language skills would be an asset.
• A business degree or diploma and/or a technology degree or diploma.
• An equivalent combination of education and experience would be acceptable.
