Summary:

The Event Coordinator plays the leading role in planning and execution of Ulnoowegs annual Summer Solstice Run. In its commitment to promoting healthy lifestyles, Ulnooweg continues to support physical activity in Indigenous communities by sponsoring and organizing a major run each year while offering the opportunity for each community to participate virtually. In addition to promoting an atmosphere of healing, Ulnooweg hopes to capture the spirit of Truth and Reconciliation by inviting non-Indigenous communities to join our community and cultural hospitality at the Summer Solstice Run each year.

The Event Coordinator provides management support to the Communications Manager for the successful planning and execution of Ulnooweg's Summer Solstice run. This role involves scheduling, liaising with vendors and volunteers, and troubleshooting problems as they arise. The ideal candidate is highly organized, detail-oriented, and able to multitask in a fast-paced environment.

Responsibilities:

  • Develop and execute social media and event strategies, including content planning and scheduling for the Summer Solstice Run.
  • Coordinate with vendors, entertainers, and venue staff to ensure seamless event execution.
  • Work closely with the Communications team to promote events and increase event awareness.
  • Assist in staffing events by coordinating with Managers, creating schedules and coordinating volunteers and employees.
  • Oversee event setup, tear-down, and any post-event follow-ups.
  • Track and manage event budgets, relaying projected and actual spend throughout event planning.
  • Manage event registration, guest coordination, and on-site logistics.
  • Gather and assess feedback from guests and staff to improve future events.
  • Maintain event records, agreements, invoices, and administrative documentation.
  • Provide problem-solving support before and during events.
  • Attend and supervise events, ensuring all details align with the plan.
  • Other duties as relevant to the position.

Qualifications:

  • Experience in event planning, project coordination, or related fields.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to adapt to changing priorities and work under pressure.
  • Proficiency in Microsoft Office and event management software.
  • Previous experience working with volunteers is an asset.
  • Availability to work evenings and weekends as required.
