Purpose of this role:

  • Follow all processes to ensure data is entered correctly on estimates and orders
  • Work with Traffic Control Manger, Supervisors, Administrator, Projects team, Rental CSPs, Dispatcher, etc. regarding opening, closing and invoicing all traffic control and rental jobs
  • Customer service: emailing invoices, reconciling invoices with customers
  • Handle inquires for estimates and orders
  • Problem-solving: lost equipment, missing information, missing documentation etc. to ensure all information is captured after closing/invoicing jobs
  • Create a pleasant experience for customers by addressing questions and concerns
  • Assist with administrative requirements
  • Monitor & review old jobs with no activity, call the customer to review what equipment is still out and needed by the customer.
  • Enter & invoice engineered drawings and OSS jobs.
  • Exporting & importing of invoices at month end from TCR to GP and compile month end reports.
  • Export and import invoices when required (daily).
  • Verify technicians' hours with invoices and submit utilization reports. Invoice rental equipment, labour and damaged equipment.
  • Communicate with customers on how they would like to be invoiced for damaged equipment.
  • Support data entry by CSP's when busy

Key Accountabilities:

  • Accurate estimate and order information
  • Maintain and build customer relationships
  • Handle incoming calls and emails from estimates and orders as required
  • Confirm customer accounts
  • Submit credit authorization requests for credit accounts to finance
  • Process credit card payments on COD accounts
  • Order generation from estimates
  • Review estimates to ensure all required information has been provided after converting
  • Work with estimators, traffic control manager, supervisors, dispatcher etc. as required for large volume estimates/projects
  • Ensure Lean, 6S, Heijunka box tasks are completed on a daily basis
