Salary:

We are seeking an experienced contractor to support AP, AR, employee expenses and benefits, and weekly financial reporting. We need someone who has:

  • Proactive, professional and courteous communication skills for regular interactions internal and external to the company
  • Curiosity to learn about the company and independently driven to find answers to questions or anomalies
  • Extreme attention to detail to reduce errors and align with compliance requirements
  • Diligence to create and/or follow rational, efficient processes to complete work accurately and on time

Scope of engagement

You will provide most services remotely during traditional business hours. We expect the work to be about 15 hours per week. Interactions with most team members are online from Monday to Thursday. An in-person reporting meeting with the CEO is held weekly in Revelstoke, BC.

Services to be provided

Act as the primary point of contact forfinancial reporting that is provided for the company through a contracted financial controller who is a certified accountant. You are responsible for ensuring delivery of:

  • Ongoing financial reporting: Cashflow, profit and loss, etc.,
  • Accounting and tax compliance actions and reviews,
  • Support to the company accountants for quarterly and annual tax filings.

Ensure full-cycle bookkeeping is provided for the company, including payroll, accounts payable, account receivable and billing.

  • You will be directly responsible for these tasks related to accounting and expenses:
    • Initiating the processing of accounts payable transactions including bills, credit card charges and expenses (related to employees or customers), ensuring the accuracy of each bill and its proper coding.
    • Preparing and issuing sales invoices to customers and monitoring receivables for timely payment, including sending follow-up emails for late payments.
    • Transfer funds in company bank accounts and upload bank statements to the accounting software.
    • Read and process mail from virtual office services and keep structured files (as electronic copies; hard copies should be scanned) for critical business documentation on the companys systems.
    • Perform other general office duties as needed, such as purchasing supplies and managing staff expense reports.
    • Provide guidance and support to any employee for issues with invoicing, expenses, payroll, etc.
    • Support the COO with annual renewal of business insurance policies.
  • You will play a supporting role for our contracted financial controller to ensure his team has what is needed for:
    • Posting and classifying daily receivable transactions and maintaining accurate and comprehensive records of each days transactions.
    • Managing sales and payroll taxes and fulfilling local/provincial/state/federal government reporting requirements.
    • Handling and processing all payroll, including use of third-party services for payroll entry.
    • Reconciling bank, credit card, and inter-company accounts monthly.
    • Maintaining ledger entries with consistency and accuracy and overseeing financial records using the companys software.

Ensure that human resources, payroll management and benefits administration are provided to the company. You are directly fulfilling these responsibilities:

  • Work with benefits carriers to maintain the group plan and enroll employees for benefits.
  • Maintain and update all personnel records regularly.
    • Employee updates regarding payroll, such as paid time off, bonuses, overtime, taxes, and other modifications to salaries, will need to be provided to the financial controllers team that directly manages this employee information in our payroll systems.
  • Lead onboarding and offboarding processes with support from relevant team members.
