Reporting directly to theSales and Development Manager, the Vendor & Sponsorship Coordinator provides support for the MRG Events team through management of all vendor applications and on-site set up for major festivals, including Khatsahlano, Filberg Festival, Car Free Days Festivals, Noel Surrey among others.

In addition, The MRG Group owns and operates an events business, travel company, digital publication, and ticketing service Admit One. In 2021, the business expanded its presence into the US, signing its first venue deals with properties in New York and California later that year.



Key Responsibilities

  • Vendor Coordination: Manage applications, respond to inquiries, and maintain vendor relationships.
  • Sponsorship Management: Build external partnerships, generate leads, and support sponsorship contracts.
  • Logistics & Onsite Execution: Coordinate vendor permits, placements, and load-in/out operations.
  • Administrative Support: Track applications, payments, and invoices via Square, Asana, and Google Sheets.
  • Communication & Reporting: Provide regular status updates, manage deliverables, and handle post-event reconciliation.
  • Collaboration & Support: Work with the marketing team for outreach and support event operations as needed.

Knowledge, Skills, Abilities

  • 2+ years in event coordination, live music, or large-scale events.
  • Excellent written, verbal, and interpersonal skills; ability to communicate across all levels and work within cross-functional teams.
  • Highly organized, detail-oriented, and able to manage multiple tasks and events simultaneously.
  • Self-motivated, able to work independently, and tackle challenges creatively.
  • Familiarity with Asana, Google Drive, Slack, and communication platforms like Google Meet; knowledge of Wuffoo is an asset.
  • Physical Requirements: Comfortable standing and walking for long periods
  • Driver's license is considered an asset.
