Who We Are

Institutional Limited Partners Association (ILPA) engages, empowers, and connects private markets limited partners (LPs) to maximize their performance on an individual, institutional, and collective basis. Representing over 600 institutions and more than $3 trillion USD of private markets assets under management, member organizations include public pensions, corporate pensions, endowments, foundations, family offices, insurance companies and sovereign wealth funds located around the world. ILPA is the only organization dedicated exclusively to the private markets' LP community. Through its efforts in the areas of education, advocacy, standards and best practices, and networking, ILPA aims to have a positive, direct and increasing impact on the health and reputation of the private markets industry globally.

This is a full-time (40-hours), exempt position, preference to applicants in Toronto, Ontario. Applicants in commutable distance to Toronto, will be required to report to ILPA's Toronto office twice a week.

Position Description

The Coordinator, Events will have an opportunity to work directly with ILPA colleagues based in Toronto, Canada, London, UK, and Washington, DC, USA to support ILPA's event program, including the flagship ILPA Summit, Members' Conference, Legal Conference and ILPA Summit Europe. The individual will provide administrative and logistical support for registrations and event logistics and will regularly interact with ILPA members and industry stakeholders in respect to ILPA's events. The role requires flexible working hours during multi-day and full-day events (live and virtual).

The coordinator will report to ILPA's Manager, Events.

Roles and Responsibilities

Event Strategy and Execution

  • Collaborate with the Events team to refine and implement best practices, ensuring seamless and engaging experiences for live and virtual attendees.
  • Partner with the Events and Marketing teams to develop and execute tailored marketing plans for each event, including email campaigns, drip marketing strategies, and website content.
  • Work closely with the Membership team to plan and execute member gatherings that enhance engagement and value.
  • Oversee inventory of event materials and promotional items, ensuring adequate supplies for all events. Handle event collateral logistics, including shipping materials to and from event locations.
  • Coordinate logistics and develop event materials, including agendas, attendee guides, and signage.

Operations and Attendee Experience

  • Provide exceptional customer service, addressing member inquiries and resolving issues with a professional and solutions-oriented approach.
  • Manage the registration process for major events, including processing inquiries, updating attendee records in Cvent, and ensuring a smooth user experience.
  • Support the execution of on-site and virtual events, ensuring all logistics align with ILPA's high standards.
  • Maintain and support event technology platforms, including Cvent Attendee Hub, Salesforce, MeetMax, Zoom, and ILPA.org.
  • Assist with vendor research and management, including venue selection and contract coordination.
  • Update and maintain the ILPA industry events page on WordPress, ensuring accurate event listings.

Collaboration and Process Improvement

  • Apply strong organizational and time management skills to juggle multiple priorities while maintaining attention to detail.
  • Utilize process-design tools to enhance efficiency, consistency, and scalability in event operations.
  • Ensure ILPA events are accessible and inclusive for all attendees.
  • Take on special projects based on ILPA's evolving needs, personal bandwidth, and areas of expertise.

Qualifications

  • Bachelor's degree, preferably in event management, hospitality or related field or diploma
  • One to two years of experience, preferably in event management, hospitality or related field
  • Registration and communications best practices; experience with event registration platforms, including Cvent and Salesforce are highly relevant
  • Experience with Pardot or similar marketing automation tools
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint and Excel skills
  • Experience with Zoom, WebEx or similar web conferencing
  • Exceptional written and interpersonal communication skills
  • Excellent ability to collaborate and examples of teamwork
  • A commitment to exceptional member service
  • Creative abilities and resourceful problem-solving skills
  • A high level of accountability, accuracy, and efficiency, especially while handling multiple tasks
  • Previous experience in associations, financial services, private equity and/or private markets is ideal
  • Ability to travel to ILPA major events (up to 5 events throughout the year). This will include overnight and international travel.

Benefits/Compensation

The anticipated base salary range for this role is $60,000 to $70,000 CAD. The compensation range for this role is specific to Toronto and considers a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.
In addition to the base salary, the hired professional will enjoy a comprehensive benefits package including paid time off (up to 30 days), company holiday closure, retirement benefits, 100% employer paid health insurance for employee and their dependents, life insurance and disability, paid holidays, and professional development allowance. Additionally, the hired candidate will be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
