About the Opportunity

The Community Capacity Building (CCB) teams mission is to ensure the vibrancy and vitality of the Toronto Jewish community by strengthening the essential infrastructure necessary for our community and addressing the most pressing challenges of the day. The team leads UJAs strategy in community planning and investments, and encompasses a broad portfolio of interventions that includes: Jewish Education & Engagement, Affordability of Jewish Life, Research & Community Insights, Human Services, Countering Antisemitism and Hate, the Toronto Holocaust Museum, and the Ontario Jewish Archives.

We are seeking an experienced and results-driven Executive Assistant to provide administrative support to two senior executives on the team. The successful candidate will be highly organized and meticulous with strong business acumen and project management skills.

Responsibilities include, but are not limited to:

Day-to-day executive support, including inbox and email management, and providing support to the department as needed, including ad hoc, unplanned, time sensitive, and confidential tasks/initiatives and requests

Manage correspondence and flag important emails, delete or redirect emails to appropriate staff, and answer simple correspondence

Manage busy calendar with an understanding of current and emerging priorities, taking initiative to rearrange meetings as required

Perform a wide range of administrative and meeting support tasks, including preparing all meeting materials, briefing them in advance of meetings, debriefing afterwards to determine necessary follow-up, assigning/tracking/following-up on action items, meeting minutes, etc.

Plan and orchestrate work to ensure that department priorities are met, organizational goals are achieved, and best practices are upheld

Ability to contribute to the research and management of ongoing projects

Regular liaison with cross departmental staff at all levels, in addition to lay leaders, community agencies, stakeholders and the public, as needed

Schedule all aspects of travel; track expenses and submit reimbursements

Manage IT needs

Qualifications:

A post-secondary degree ideally with a business or organizational/community development focus, or equivalent experience

Minimum of 5 years experience in an office environment with at least 3 years supporting a senior executive

Experience developing internal processes considered an asset

Advanced competency in Microsoft Office (Outlook, Excel, PowerPoint, and Word) with aptitude to learn new software and systems

Self-starter with excellent organizational and time management skills ability to work independently to meet timelines and priorities

Strong interpersonal and client relationship skills ability to work with a diverse group of professionals, donors and volunteers

Strong analytical capability with excellent attention to detail; strategic thinker

Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment

Excellent written and verbal communication skills

Maintain a high degree of discretion and confidentiality

Familiarity with the Toronto Jewish community is considered an asset
