DROP Investments is a growing and dynamic organization managing multiple companies within a structured family office. As we continue to streamline operations and scale, we need a sharp, detail-oriented, and proactive Office Manager to keep things running smoothly. This role goes beyond keeping things organized—you'll be a core part of our team, ensuring smooth operations while actively contributing to our growth.

This is a wide-ranging role that covers office management, executive support, and bookkeeping. You'll be the go-to person for keeping everything organized, supporting leadership, and ensuring the office runs smoothly. While experience in all areas is great, we're happy to train the right person in company-specific processes.

What We're Looking For:
  • 3+ years of experience in office administration, executive support, or bookkeeping.
  • Strong ability to manage multiple priorities across leadership support, financial coordination, and office operations.
  • Proficiency in QuickBooks and working knowledge of bookkeeping.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to take initiative in improving processes.
  • Excellent communication skills—you'll be interacting with leadership, vendors, and team members regularly.
  • Highly organized and proactive—you see what needs to be done and take action.
  • Flexible and adaptable—you're comfortable shifting gears and taking on new challenges as the business evolves.
  • Comfortable with technology, including Microsoft Office Applications and scheduling tools.
  • Comfortable working in a dynamic, fast-paced environment.
  • Property management experience is a plus.
Key Responsibilities:

Office Management & Administrative Support

  • Keep day-to-day office operations running smoothly.
  • Manage vendor relationships, office supplies, equipment, and office organization.
  • Respond to inbound email inquiries and ensure timely follow-ups.
  • Assist leadership with administrative tasks and help maintain efficiency.
  • Act as a bridge between teams, leadership, and external contacts.
  • Look for ways to improve processes and make operations more efficient.

Executive Support

  • Support leadership with scheduling, travel coordination, and key administrative tasks.
  • Assist in preparing reports, presentations, and documentation.
  • Handle confidential information with professionalism and discretion.
  • Monitor and assist with email and communication management for leadership.

Bookkeeping & Financial Coordination

  • Maintain financial records in QuickBooks.
  • Reconcile bank accounts and credit card statements to ensure accuracy.
  • Process payroll and manage vendor invoices, rent payments, and fund transfers.
  • Support leadership with financial reporting and tax-related documentation.
