About the Role

Reporting to the Product Owner, Industry, the Program Coordinator is a key member of the Industry team responsible for full-scope administrative functions. They pride themselves on creating exceptional experiences for Amiis clients and program participants.

The Program Coordinator actively seeks out and addresses obstacles that hinder team cohesion and collaboration, employing problem-solving skills to ensure smooth and effective teamwork.

The position focuses on achieving excellence in three main accountabilities:

  • Program & Product Execution: Ensure seamless execution of programs and products, delivering high-quality outcomes that align with organizational goals.
  • Client Success: Enhance client relationships by providing exceptional experiences and support, driving client satisfaction and success.
  • Teamwork: Work closely with your peers to foster a productive work environment.

Required Skills / Expertise

Key Responsibilities:

Program & Product Execution

  • Supports end-to-end program and product delivery including administrative tasks
  • Coordinates and executes events and activations for our products, programs and partnerships
  • Reviews and proof-reads client deliverables for clarity
  • Assists in the development of program and product schedules & roadmaps
  • Coordinates internal tools and resources for Industry team products and projects
  • Assists in identifying and implementing process improvements to enhance the efficiency and effectiveness of program and product execution
  • Adapts and manages shifting priorities effectively based on evolving program requirements, team dynamics, and client needs

Client Success

  • Schedules and organizes meetings, workshops, and events related to program and product execution
  • Ensures exceptional client experiences through timely and clear communication
  • Supports the onboarding process for new clients, including preparing welcome materials and scheduling introductory meetings
  • Prioritizes driving client success by providing exceptional support and anticipating client needs
  • Collects feedback from stakeholders and participants to support the evaluation of the effectiveness of programs and products
  • Identifies opportunities for incorporating client feedback to enhance delivery
  • Tracks and reports on client satisfaction metrics to support the identification of areas for improvement

Teamwork

  • Facilitates interactions and cooperation between different teams to ensure a smooth workflow and information exchange
  • Helps manage team communication channels, such as emails, messaging platforms, and collaborative tools
  • Contributes to a positive team environment by actively participating in meetings, brainstorming sessions and activities
  • Acts as a point of contact for resolving operational issues and obstacles, working with relevant teams to find solutions and ensure continuity
  • Promotes open communication channels to address program, product or client needs
  • Promotes and identifies effective problem-solving strategies in the workplace

Qualifications:

  • Post Secondary Degree or Diploma in Business Administration, or related field (nice to have)
  • 2+ years experience in program coordination, community relations, or project management (nice to have)
  • Proven ability to develop and nurture relationships with clients, partners, and community members
  • Proficient in tools such as Google Suite, Asana, HubSpot, RISE, Miro, ect.

Knowledge, Skills and Abilities (KSA):

  • Strong project management skills and ability to manage multiple tasks simultaneously
  • Exceptional communication and interpersonal skills, with the ability to effectively collaborate with stakeholders at all levels
  • Ability to identify the needs of stakeholders and create/drive new solutions
  • Excellent verbal and written communication skills with a high attention to detail
  • Demonstrates a positive, group-win approach and a willingness to help, learn, and share
  • Demonstrates adaptability and effectively manages shifting priorities
