The Position

We are seeking an Administrative Assistant to join our team at Lift Head Office. The Administrative Assistant triages information of a sensitive and confidential nature, ensures that regular meetings and processes are conducted in a timely and organized manner, communicates effectively and professionally, maintains accurate and organized records, assists with special projects, and keeps managers apprised of issues and activities. The candidate, above all else, must fundamentally value genuine inclusivity and believe that we, as a community, are ethically accountable for the health and wellness of all who live here.

Overview

  • Hours: 35 hours/week
  • Hours: Monday to Friday - 7 hours per day preferred
  • Wages: $27.15 - $30.05, on a 5-step wage grid

Key Tasks and Competencies

  • Provides administrative support in an organized, professional and confidential manner
  • Exposed to sensitive information frequently and expected to maintain the highest level of confidentiality
  • Supports project management on key projects
  • Responds to general Lift phone calls with assistance from the Communications Department
  • Is a welcoming initial presence as the first face at the administrative office
  • Books facilities or spaces
  • Produces well-designed and accurate reports, correspondence, presentation materials, spreadsheets, and memos
  • Drafts and/or updates various documents including letters, newsletters and memos
  • Assists with maintaining various spreadsheets, files, and records
  • Maintains and updates various computer databases including HIFIS and Housing Connections
  • Assists with receiving, filing and tracking program applications and intakes, maintaining various waitlists and databases
  • Makes recommendations regarding efficiency of administrative processes
  • Assists with the development, maintenance and communication of program policies and procedures
  • Develops templates, forms, and spreadsheets to improve efficiency and communication
  • Carries out responsibilities in accordance with health and safety requirements and immediately report unsafe situations by notifying appropriate personnel
  • Supports the Lift Board
  • Assists with Human Resources processes

Qualifications

  • Graduation from a recognized administrative assistant/secretarial post- secondary program is preferred but not required

Experience

  • Three (3) years of senior administrative support experience or an equivalent combination of education, training and experience
  • Experience working in social services, non-profit, and or health care and/or some post-secondary education in the social sciences or a health-related discipline is an asset.

Skills and Abilities

  • Demonstrated project management skills, such as ability to think critically and problem solve, document project plans and progress and monitor project scope, track the allocation of resources, project scheduling (Gannt chart, etc.)
  • Advanced word processing, spreadsheet, presentation, desktop publishing and database software skills
  • Efficient organizational skills
  • Strong digital literacy and working knowledge of Microsoft Office 365, project management tools and databases
  • Effective communicator with proficient use of the English language, both written and verbal
  • Excellent time management skills to prioritize and complete assignments in a manner that optimizes leadership effectiveness and contributes to organizational success
