KBL Environmental is looking for a Senior Technical Proposal Coordinator to lead the development of high-quality, competitive proposals that align with our strategic objectives.

In this role, you will work closely with subject matter experts, estimators, and business development teams to create persuasive technical content while ensuring consistency with KBLs branding and messaging. You will also mentor and guide intermediate proposal coordinators, helping to strengthen our proposal development process. Position Title: Senior Technical Proposal Coordinator

Reports to: Director of Corporate Development

Department: Corporate Development

Position Summary

The Senior Technical Proposal Coordinator is responsible for leading the development of high-quality, competitive technical proposals that align with KBLs strategic objectives. In this role, you will oversee the proposal development process, from content creation to final submission, ensuring clarity, compliance, and persuasive messaging. You will collaborate with subject matter experts, project managers, and business development teams to craft compelling narratives that highlight KBLs capabilities and value propositions. Additionally, you will provide guidance and mentorship to intermediate proposal coordinators, fostering a strong and efficient proposal team.

Duties and Responsibilities

Proposal Development & Coordination

Monitor tender websites and coordinate with Account Managers to track new leads, ensuring all opportunities are logged and updated in the CRM.

Lead the proposal development process, including gathering information, writing, formatting, and finalizing technical proposals.

Coordinate with subject matter experts (SMEs) and estimators to develop detailed and competitive proposals.

Lead technical write-ups, ensuring accuracy, clarity, and alignment with client requirements.

Maintain a proposal calendar, ensuring deadlines are met and deliverables are completed on time.

Conduct reviews to ensure compliance with tender requirements, RFP specifications, and internal quality standards.

Content Development & Brand Consistency

Ensure consistency in branding, messaging, and verbiage across all proposal materials, aligning with KBLs standards.

Develop and update project profiles, resumes, and case studies to showcase company experience and capabilities.

Coordinate and manage references, testimonials, and supporting materials for proposals.

Create and maintain a library of standard proposal content, technical responses, and reusable materials for efficiency.

Leadership & Mentorship

Mentor and lead intermediate proposal coordinators, providing guidance, training, and support in proposal best practices.

Foster a collaborative team environment, encouraging continuous improvement in proposal writing and coordination.

Act as a key liaison between the proposal team, business development, and operations to streamline communication and workflows.

CRM & Business Development Support

Keep the CRM updated with lead tracking, opportunity status, and proposal outcomes.

Work closely with Account Managers and Business Development teams to support strategic pursuits and opportunity tracking.

Provide insights on industry trends, competitor positioning, and proposal win/loss analysis to improve future submissions.

Contract & Database Management

Manage and maintain the contracts and bonding database, ensuring all documentation is up to date and accessible.

Oversee proposal archives, templates, and version control for efficient document retrieval and reuse.

Support the preparation of contract documents and assist in compliance tracking for awarded projects.

Continuous Improvement & Process Optimization

Identify areas for improvement in the proposal process and implement best practices to increase efficiency.

Develop internal guidelines and templates to enhance the quality and consistency of proposals.

Stay current on industry best practices and procurement requirements to ensure compliance with evolving standards.

Grant Application and Management:

Identify and apply for relevant grants to support project funding.

Track and report on the status of grant applications and funding received.

Physical Requirements

This position is office based but will require local travel to meet clients, attend KBL site visits and attend regional conferences.

Working Environment

Position requires some travel periodically.

Qualifications

Advanced proficiency in Microsoft Word, Excel, and PowerPoint.

Excellent technical writing, editing, and communication skills, with the ability to translate complex technical concepts into clear, compelling content.

Highly organized, with the ability to balance multiple priorities and deadlines in a fast-paced environment.

Strong attention to detail and commitment to producing high-quality, client-focused proposals.

Ability to work independently while collaborating effectively with cross-functional teams.

Strong research and analytical skills to understand project requirements and competitive positioning.

Ability to provide constructive feedback and mentor junior team members.

Minimum 510 years of experience in proposal writing, technical content development, or business development, preferably in the environmental services, engineering, or construction industries.

Experience leading proposal teams and mentoring junior team members.

Familiarity with government and industry procurement processes, including RFPs, RFQs, and SOQs.
