The Opportunity

Fueling Brains Academy is looking for Admissions & Enrollment Coordinator who will play a vital role in ensuring the seamless operation of the registration and enrollment process for families. This role focuses on managing inquiries, maintaining accurate data, and driving enrollment growth through proactive communication and outreach, including cold callings.

Key Accountabilities and Responsibilities:

  • Respond promptly and accurately to all new inquiries via phone, email, and website.
  • Maintain and update critical enrollment records, including Confirmed Start Dates, Mabels Labels, and enrollment charts.
  • Manage the registration inbox by addressing inquiries, forwarding emails, and guiding families through the registration process.
  • Assist parents in booking tours and provide essential information to support informed childcare decisions.
  • Update parents on their waiting list status and respond promptly to follow-ups.
  • Proactively reach out to families through cold calls and follow-ups to engage and convert leads.
  • Ensure CRM records are regularly updated with accurate family information.
  • Monitor CRM notifications for emails, texts, and tasks, and address them promptly.
  • Create manual follow-up lists when CRM automation is unavailable or insufficient.
  • Make a minimum of 20 connected calls daily to prospective families, introducing them to the academy and scheduling next steps.
  • Track cold-calling efforts and report weekly progress to leadership.
  • Prepare weekly enrollment progress updates and share insights with leadership.
  • Collaborate with the Admissions and Enrollment Team to enhance efficiency and resolve challenges.
  • Support initiatives across departments to drive enrollment and retention goals.
  • Identify inefficiencies in enrollment and registration workflows, proposing actionable improvements.
  • Maintain clear and organized documentation of all communications and approvals for process consistency.


Qualifications and Skills

  • Strong communication skills, both written and verbal.
  • Proven organizational abilities and attention to detail.
  • Proficiency with CRM tools and data management systems.
  • Ability to work independently and proactively solve problems.
  • Experience in a customer-facing or admissions role (preferred).
