Job Summary:
The Office Administrator will collaborate with the Operations Manager to support daily office operations and assist the Accounting Manager with various accounting tasks. This role is responsible for working with new and existing customers, ensuring we are providing them with proper equipment and services for their needs.
Responsibilities:
Office Responsibilities
Handle customer phone calls, Taking delivery orders and manage incoming and outgoing email for dispatch
Setting up a customer in the Client Data Base system
Gain a deep understanding of our product and services to expertly explain and sell our services to new customers
Manage client relationships; including customer satisfaction, maintenance scheduling and proactive outreach on potential upgrades
Exceptional Customer Service; taking the time to understand needs, ask the right questions, find the best solution and act as our ambassador at all times
Assist with general administrative tasks as needed
Participate in cold outreach, handle inbound leads and support marketing efforts
Maintain a can-do attitude, always continue to learn and grow. Find opportunities for continuous improvement
Maintain office supplies, equipment, and overall office organization
Accounting Responsibilities
Invoice customers for work orders, propane fill, parts purchase or recertification
Prepare, organize, and file documents; ensure data accuracy and confidentiality.
Post purchase invoices in the system
Facilitate collection from credit card paying customers
Call customers to follow up on payments
Experience:
1+ years of previous Office Administrator experience
High School Diploma or equivalent
Post-secondary degree, diploma or certification in Business Administration, Marketing or similar an asset
Propane or Gas Industry experience and certification (eg. WHMIS) an asset
Preferred candidate will be experienced in Microsoft Office Suite, experience with Sage an asset
Ability to recognize, research and resolve customer complaints
Must possess exceptional customer service skills, always looks for the next opportunity
Strong verbal and written communication
Ability to multitask in a fast-paced environment
Maintain safety standards at all times
Benefits:
Competitive Salary: $48,000.00 - $55,000.00

This is a full-time position located in our head office at Oliver, BC
