Position Summary
The Dispatch Assistant, reporting directly to Dispatch, has a crucial role in ensuring the smooth operation of the company's dust control services during the height of dust control season by handling essential administrative tasks such as creating bills of lading, processing a portion of payroll, and coordinating with drivers and brokers.
Position Responsibilities
- Create and process bills of lading for shipments.
- Assist with payroll administration, including tracking hours and processing relevant documents.
- Answer phones and coordinate with drivers, brokers, and clients to ensure smooth operations.
- Work on-site in Goderich, sharing office space with other team members.
- Maintain accurate documentation and organize files using Microsoft Office, phone systems, and FileMaker software.
- Provide general administrative support to help streamline daily operations.
- Respond to inquiries from clients, brokers, and internal staff professionally and efficiently.
- Ensure proper communication between departments, facilitating the flow of critical information.
- Other duties as assigned.
Position Qualifications & Specifications
- Currently enrolled in a university or college program (preferred, but not required).
- Strong computer and typing skills experience with Microsoft Office (Word, Excel, Outlook) is an asset.
- Excellent written and verbal communication skills to interact with drivers, brokers, and internal teams.
- Strong attention to detail for accurate data entry, documentation, and billing.
- Ability to multi-task and prioritize in a dynamic office environment.
- Self-motivated with the ability to work independently and as part of a team.
- No prior experience required willingness to learn and adapt is key!
Work Environment and Schedule
- On-site in Goderich, ON.
- Monday to Friday, 8:00 AM - 4:00 PM or 8:30 AM - 4:30 PM (with occasional Saturday shifts as needed).
- Contract position flexible for students looking to gain professional experience.
