We are seeking a highly organized and dedicated Customer Service Administrator to join our team at Avenir Energy, a leading propane distribution business. The successful candidate will be the primary point of contact for customers, providing outstanding service, ensuring timely processing of orders, and handling inquiries related to propane delivery and services. Key Responsibilities:
- Customer Support:
- Serve as the primary contact for customer inquiries via phone, email, and in-person.
- Provide accurate and timely information regarding propane services, billing, and delivery schedules.
- Resolve customer issues or complaints in a professional and efficient manner.
- Handle requests for propane deliveries, tank refills, and equipment maintenance.
- Order Management and Customer Invoicing
- Process customer orders and ensure correct details are entered into the system.
- Follow up on customer delivery inquiries
- Maintain and update customer records and service histories.
- Customer Payments:
- Assist customers with billing inquiries, including reviewing invoices and charges.
- Process payments, including credit card and electronic payments, and ensure timely invoicing.
- Collaborate with the accounting department to address payment discrepancies.
- Administrative Tasks:
- Maintain customer files and documents in a well-organized manner.
- Assist with inventory management for propane inventory, tanks and related equipment.
- Coordinate with other departments (logistics, sales, etc.) to ensure seamless service delivery.
- Compliance and Safety:
- Ensure that customer interactions and records comply with safety and regulatory standards.
- Stay informed about industry regulations and propane safety standards.
- Education: High school diploma or equivalent (Associate's degree preferred).
- Experience: 2+ years of experience in customer service, preferably in a propane, energy, or distribution-related field.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and customer management software (CRM).
- Ability to handle stressful situations and resolve conflicts professionally.
- Knowledge of propane products and safety standards is a plus.
- Physical Requirements: Ability to sit at a desk for extended periods and occasionally lift items up to 25 lbs.
