Regional Fertility Program (RFP) is currently seeking a Full-Time Receptionist to join our team at our Calgary clinic.

As the first point of contact for patients, the Receptionist will perform a wide range of administrative tasks, including in-person and phone/electronic assistance. The Receptionist must maintain professionalism, courtesy, and respect at all times while creating a peaceful, calm environment in the patient waiting areas.

Primary Responsibilities:

  • Greet and assist patients, ensuring all demographic, financial, and clinical information is accurately entered into the Electronic Medical Record (EMR).
  • Check-in patients, entering visit details into the EMR.
  • Maintain and update clinic databases.
  • Answer phone calls, triage inquiries, manage voicemail inboxes, and relay messages.
  • Direct callers to appropriate services.
  • Address general inquiries about clinic programs.
  • Process clinic payments, handle intake, and ensure accurate daily cash closing.
  • Review and print doctors' billing sheets at the end of each day.
  • Escort patients to ultrasound rooms and provide basic instructions.
  • Prepare new and existing patient records for each scheduled clinic, including updating charts and stamping required documents.
  • Retrieve and forward health record documents and reports for physicians and other healthcare institutions as needed.
  • Notify patients of weekend appointments, such as IUI and laminaria tent insertion.
  • Reconcile daily Payment Summaries as indicated in HealthQuest.

Education Requirements:

  • High school diploma or equivalent required.
  • Post-secondary education in administrative support, healthcare administration, or office management is an asset.
  • Certification in medical office administration or a related field is a plus.
