The Refugee Hub works at the intersection of research, policy, and programming to champion and design protection solutions for refugees. Our team specializes in cross-sectoral work, providing high-quality and tailored support to governments, civil society, and private sector leaders in support of an improved refugee protection system. We foster innovative new pathways, programs, and partnerships that leverage the welcoming capacity within our communities.

Our unique Knowledge Team, based at the University of Ottawa, ensures that the organizations policy and programmatic work is fully informed by world-class research and knowledge generation. This includes substantive research and knowledge creation and translation with a focus on refugee sponsorship, resettlement, and complementary pathways. The Knowledge Team is a mix of permanent staff and part-time uOttawa students in research and administrative roles.

In addition to a wide range of direct support to key stakeholders, our current flagship partnerships include:

  • The Third Country Solutions Identification and Referral Network

About the role What will you do?

We are seeking a student to join us as a Research Administrative Assistant for the 2025/2026 academic year. Under the supervision of the Principal Analyst, you will play a key role in supporting the University of Ottawa Refugee Hubs Knowledge Team and its research initiatives. Your responsibilities will include:

  • Monitoring and maintaining up-to-date, organized records of the Knowledge Teams research, policy, and law portfolio.
  • Performing administrative and coordination tasks, such as managing reimbursements, scheduling team meetings, and drafting communications.
  • Supporting the Knowledge Teams participation in and hosting of academic and civil society conferences, workshops, meetings, and lectures.
  • Assisting with the Knowledge Teams involvement in research partnerships and consortia.
  • Providing additional support for other Knowledge Team activities as needed.

About you Who are we looking for?Minimum requirements include:

  • Minimum 1 year of experience in program or administrative support.
  • Proven experience in scheduling meetings and appointments, processing invoices and travel claims, and managing room bookings and catering.
  • Proficiency with online event management tools, including MS Teams and Zoom.
  • Demonstrated maturity, tact, integrity, and diplomacy, with the ability to exercise independent judgment and flexibility in a professional setting.
  • Strong reliability, consistency, and proactive thinking.
  • Exceptional organizational and coordination skills, with a high level of attention to detail and accuracy.
  • Excellent interpersonal and communication skills, including strong English writing abilities.
  • Bilingualism (English/French) is considered an asset.
  • Interest in and/or experience with refugee law, academic research, and migration issues is considered an asset.
  • Must be registered as a student at the University of Ottawa for the 2025/2026 academic year.
  • Students pursuing studies in business administration, economics, public administration, or similar programs are strongly encouraged to apply.

Location

  • This is a hybrid position based in Ottawa, combining remote work with in-person hours at the University of Ottawa Refugee Hub office.

Contract

  • Start date: Immediately following recruitment.
  • Duration: 2025/2026 academic year, with the possibility of renewal.
  • Compensation: $26.33/hour for 10 hours per week, with occasional overtime as needed.
