Hours of work

This position is a part time, contract position, 12 hours per week/approx. 3 hours per day Mondays through Thursdays with occasional evenings and/or weekends. The position is remote when the physician is not in clinic and in person during clinic days.

Job purpose

The Medical Office Assistant supports the physician with Electronic Medical Record and patient data management, appointment booking and calendar management, office organization, and administrative supports as directed by the physician.

As a Medical Office Assistant, you will be the face of our organization and will demonstrate a high level of patience and empathy for the needs of our patients. Reporting to the physician, the Medical Office Assistant works collaboratively with all staff, and physicians in support of patient care. The MOA supports the clinic by performing a variety of clerical, administrative and clinical tasks.

Primary duties and responsibilities

The Administrative Assistant performs a wide range of duties, including some or all the following:

In Clinic

  • Greeting and acknowledging all patients and visitors in the medical home to determine the purpose of their visit
  • Check in patients for their appointments using the EMR to ensure good patient flow
  • Update patient demographics (name, address, contact info, family physician, PHN validation, etc.
  • Answering incoming calls and processing patient inquiries accordingly, within scope of practice (book appointments, direct to appropriate staff members, when necessary, etc.), triage or action based on the nature of the call
  • Outgoing calls to patients and complete patient outreach when appropriate
  • Escorting patients to exam rooms, obtaining a brief history of patient problem using clinical assessment skills within scope of practice, take appropriate vitals (blood pressure, height, weight, temperature, O2 stats, urinalysis, etc.), assist and chaperone with medical procedures
  • Administrative/other duties that include but not limited to: scanning, electronic filing, processing incoming and outgoing faxes, linking documents, answering email/EMR messages, maintaining EMR records.
  • Processing referrals and follow up verifying receipt of referral
  • Triage and/or completion of generally assigned tasks within the EMR
  • Maintain, protect, and comply with privacy and confidentiality for all patients, staff and physicians according to Patient Information to Privacy Act.
  • Clinic autoclaving and reprocessing of equipment as per BC Best Practices for Cleaning, Disinfection and Sterilization for Critical and Semi-Critical Medical Devices
  • Awareness and adherence to Infection Prevention and Control policies and procedures
  • Other duties as assigned within scope of practice
  • Performs Medical Administrative Assistant functions as required

Qualifications

Education

Completion of Secondary School is required.

Knowledge, skills, and abilities

  • Knowledge of medical terminology
  • Strong computer typing skills (minimum 40 wpm)
  • Knowledge and experience with medical records management using an EMR
  • Understanding the importance of appropriate and accurate documentation
  • Knowledge and experience with external resources such as Pathways, Meditech, Care Connect is a plus but not a requirement
  • Strong conflict management skills, empathy, and trustworthiness
  • Knowledge of Health Information Privacy Regulations
  • Commitment to ongoing professional development

Other Requirements

  • Must have a valid BC driver's license and access to a reliable vehicle.
  • Criminal Record check carried out within the last 6 months.
  • First Aid training is a plus but not a requirement.
  • Experience with the EMR Plexia is a plus but not a requirement, and training may be arranged directly through the EMR provider.

Working conditions

  • The job is located onsite at the Cariboo Memorial Hospital when in person.
  • The work will be performed both in clinic during regular clinic hours and remotely.

Compensation

The Medical Office Assistants wage is $25.00 per hour.
