Role Description
Administrative Assistant (HR Department)
Summary
The Administrative Assistant is responsible for performing a variety of office and clerical duties. Mainly providing support to the Human Resources department and management.
Hours
8:00am 5:00pm | Monday to Friday (42.5 hours/week)
Compensation
Annual salary range: 48,000$ - 55,000$
Paid time off: 2 weeks vacation & 2 paid flex days

Role Duties and Expectations
- Provide administrative support to HR management
- Perform general administrative duties such as filing, photocopying and data entry
- Process employees requests and direct to appropriate staff members
- Enter daily attendance and requests in HR Software
- Acquire time off request approvals from appropriate managers and report to HR manager.
- Assist in full-cycle recruitment & selection, including pre-screening candidates, booking interviews, preparing interview documents and updating recruitment tracking systems
- Use recruitment platforms such as Indeed, Glassdoor, ZipRecruiter
- Organize and compile company policies and procedures
- Maintain HR inventory levels and complete orders as required
- Update spread sheets as needed
- Maintain training compliance calendar and organize employee training as needed
- Assist with technology set-ups, handouts and repairs as needed. (i.e. cell phones, laptops, etc.)
- Provide support in organizing and conducting employee orientation
- Provide support for other roles during vacations or time off
- Provide support to accounting for various administrative tasks
- Assist with report preparation for management as needed
- Record minutes during meetings as needed
- Participate on committees and special projects
- Perform other related duties as needed
Requirements
- Experience with data entry
- Experience with administrative work
- Bilingual (English and French)
- Valid drivers license
- Clean criminal record check before start date
- Strong organizational skills
- Excellent teamwork skills
- Experience working in an office environment
- Strong written and verbal skills in both French and English to communicate with all levels of the executive team, colleagues and employees
- Computer literacy, including effective working skills of MS Word, Excel, PowerPoint and e-mail required
- Excellent time management skills
- Politically and culturally sensitive
- High level of discretion with sensitive and confidential information
