SmartICE seeks a Project Coordinatorreporting to the Project Portfolio Manager. This position will collaborate with project teams to ensure the successful delivery of SmartICE initiatives. Key responsibilities include developing project reports, creating schedules using Asana, and coordinating with stakeholders to provide updates and meet project objectives. This role also involves budget management and communication of financial information to both project and finance teams.

SmartICE offers a suite of climate change adaptation tools that integrate Indigenous and local knowledge of ice with advanced data acquisition, remote monitoring and satellite mapping for ice travel safety. Our community-based services provide invaluable, data-driven insights into ice thickness and local ice travel conditions, in near real-time.

What you will be doing

  • Facilitates project initiation by ensuring a smooth handover of information to managers and teams.
  • Documents project objectives and collaborates with teams for alignment.
  • Effectively communicates project requirements to support program and project managers in achieving goals.
  • Creates detailed project schedules and reporting requirements using Asana, aligning with timelines.
  • Regularly updates project status and coordinates with team members for progress reports.
  • Prepares and submits comprehensive project reports to funders, ensuring compliance with deadlines.Develops and maintains project reporting templates as needed.
  • Monitors monthly project budgets, coordinating with finance and project teams for updates and compliance.
  • Assists in preparing and submitting accurate project expense claims to funders.
  • Collaborates with project teams to identify, document, and monitor risks and changes.
  • Supports the change management process as needed.
  • Works with the evaluation team to document and implement lessons learned.
  • Performs other duties as assigned to enhance organizational efficiency.

What you will bring

  • Bachelor's degree or equivalent experience
  • Strong project management skills.
  • Ability to manage multiple priorities in a fast-paced, dynamic environment.
  • Must be able to work collaboratively with the team and also work independently.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Google Suite (including Google Forms and Sheets).
  • Experience with project management software is advantageous.
  • Excellent written and verbal communication and presentation skills.
  • Highly organized with strong attention to detail.
  • Eagerness to learn new skills and technologies.
