Role Summary
The primary purpose of this role is to support the procurement manager by assuming responsibilities related to updating internal systems, generating reports, managing vendor relationships, and recommending cost effective solutions to our clients and our team. With strong analytical, interpersonal and communication skills, the successful candidate will be able to proactively seek opportunities to enhance the efficiency of the procurement process within the organization.
Duties and Responsibilities
- Manage and respond to client tickets promptly, sending quotes within a 48-hour period and conducting regular weekly follow-ups.
- Maintain accurate records of purchase orders, sales orders, due dates, billing, and receiving/invoicing.
- Assist in the management of a complex cloud licensing portfolio, including adding subscriptions, performing maintenance and advising on appropriate licensing.
- Evaluate client needs such as laptop requirements, determining optimal solutions for efficiency.
- Manage shipping logistics to clients, including creating shipping labels, identifying efficient shipping methods, tracking packages accurately and adhering to international shipping regulations where applicable.
- Handle office supplies maintenance, shipping materials, labels, and supplies.
- Oversee the cleanliness of the procurement department, including maintaining, cleaning, and organizing of the procurement space on-site.
- Assist with managing vendor relationships, escalations, negotiations, and returns.
- Assist in developing KPIs and other dashboard metrics to quantify results.
- Manage other initiatives as required.
Required Skills and Qualifications
- A minimum of a high school diploma; post-secondary education in a related field is an asset.
- At least 2-3 years of experience of purchasing in an IT industry or similar setting.
- Excellent computer literacy skills and skills in MS Office Suite.
- Experience working with an ERP system is an asset.
- Ability to multi-task and prioritize and work independently with a strong attention to detail.
- Ability to maintain confidential information.
- Demonstrate a strong ability to adapt to fast-paced, ever changing work environment.
