The Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support primarily to the CEO. This individual will play a pivotal role in managing executive workflows, ensuring operational efficiency, and serving as a reliable partner in achieving strategic objectives. The position will require a confident and reliable individual with the ability to manage multiple tasks and adapt to changing priorities.
Main Functions
Administrative Support:
- Manage complex calendars, coordinate meetings, and handle scheduling conflicts.
- Screen and prioritize email communications, phone calls, and correspondence.
- Prepare high-quality presentations, reports, and briefing documents.
Operational Coordination
- Liaise with internal teams (product, support, legal, finance) and external stakeholders, including investors, regulators, and partners.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Oversee preparation for meetings, ensuring all materials are ready in advance.
Project Management:
- Track progress on key initiatives and ensure timely follow-ups.
- Assist in research and data collection for strategic projects and presentations.
- Maintain a structured approach to prioritizing multiple projects simultaneously.
Confidentiality & Discretion
- Handle sensitive company and personal information with the utmost confidentiality.
- Support the preparation of confidential materials for board meetings and investor relations.
Office Management (as needed)
- Act as a point of contact for office operations, including supplies and facilities management.
- Help streamline administrative processes and workflows to improve efficiency.
Event Planning:
- Coordinate company events (in-person and virtual), such as monthly virtual Lunch & Learns, regional holiday dinners, annual company-wide party, and social initiatives.
Required Experience, Knowledge, and Skills:
- 5+ years of experience as an Executive Assistant, preferably in a high-growth startup or fintech environment.
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint), Slack and Google Apps.
- Strong attention to detail and analytical capabilities.
- Excellent written and verbal communication skills ability to draft professional correspondence and presentations.
- Proven ability to handle competing priorities and meet deadlines in a dynamic, fast-paced environment.
