The Construction Planning & Quality Coordinator is a critical administrative support role within the Construction Planning & Quality Department at the Hall Group of Companies. This role writes, formats, organizes, documents, and facilitates internal quality-related processes for construction projects across the organization. This position ensures that quality documentation is accurate, quality activities are well-coordinated, and communication within the department is seamless. Reporting directly to the Construction Planning and Quality Senior Advisor, you are essential to maintaining the efficiency and organization of the quality department's day-to-day operations in a fast-paced, technical environment supporting multiple projects.

Your day to day will look like:

  • Provide administrative support to the Construction Planning and Quality Senior Advisor, including managing calendars and scheduling meetings.
  • Prepare, format, and distribute internal and external quality-related documents, execution plans, reports, standard operating procedures, and correspondence.
  • Provide administrative support to Superintendents in developing execution plans.
  • Maintain organized and accessible filing systems for all quality documentation, both digital and physical, in compliance with company requirements.
  • Manage incoming and outgoing communications for the Quality Department, including emails, phone calls, and written correspondence. Ensure prompt responses and follow-up with project supervisors and management staff.
  • Track and manage internal documentation for corporate quality assurance activities, inspections, and audits, ensuring that all records are up-to-date.
  • Support the development and updating of quality manuals, checklists, and procedural documents under the direction of the Senior Advisor.
  • Organize and catalog project-specific quality records, such as inspection forms, test results, and issue logs, ensuring easy accessibility for team members.
  • Assist in planning and organizing department meetings, including preparing agendas, taking minutes, and following up on action items.
  • Track internal deadlines and milestones for quality tasks and document-building initiatives, keeping the Senior Advisor informed of upcoming responsibilities and any potential delays.

Preferred Qualifications:

  • Eligible to work in Canada - Valid working Visa, PR or Citizenship required.
  • Strong English communication (verbal and written).
  • A high school diploma or equivalent is required; post-secondary education or certification in office administration, quality management, materials testing, or a related field is preferred.
  • Minimum of 2 years of administrative experience, ideally in a construction, engineering, or quality management environment.

Technical Skills

  • Advanced skills in Microsoft Office Suite (Word, Excel, Outlook) and demonstrated experience with document management systems.
  • Strong organizational skills with impeccably high attention to detail and the ability to manage multiple tasks efficiently.
  • Experience with Rise360, Site Docs, and learning management systems (LMS) is an asset.

  • Highly motivated and self-directed, capable of multi-tasking, and able to work with minimal supervision.
  • Strong analytical skills with an ability to simplify technical materials and advise staff.
  • Detail-oriented with the ability to work in a fast-paced environment.
  • Excellent written and verbal communication skills with a professional and approachable demeanor.
  • A resourceful problem solver who takes initiative to understand issues thoroughly and brings informed questions or suggestions to discussions.
  • Discretion and the ability to handle sensitive information with confidentiality.
